General Practice Administrator Full Time

Job Description

We are looking for a talented, experienced administrator with a wide knowledge in all administrative duties, preferably within general practice. This is a key, full time position that has only become available due to our long -term Senior Administrator moving out of area. The position is varied with a high degree of admin duties, including some clinical and data report submissions. This position has the opportunity for progression in the future subject to post holder success within what is a progressive and expanding Practice.

Richmond Surgery is the lead practice for Fleet PCN (Primary Care Network). The Clinical Director is our Senior Partner and the PCN Finance Manager is our Managing Partner. We are rated Good with CQC and are high QoF achievers, with excellent NHS Choices patient feedback. We are a practice committed to staff welfare, growth and opportunities. As a practice we use EMIS Web, Docman, Patient Triage, accuRX and are keen users of other digital IT software to enhance patient access and patient long term care.

The ideal candidate should be friendly and approachable, have high work standards and ethics, a team person with a positive outlook, have strong confident IT abilities and at least 5 years in a varied administrative role. Deadlines are crucial so you should be organised and willing to go the extra mile to ensure deadlines are met. You should thoroughly enjoy a varied administrative role and be eager to learn and progress.

Full training and support will be provided, and it is anticipated the successful candidate will have a working handover period with our departing Senior Administrator.

JOB RESPONSIBILITIES



The following areas of responsibility are an indication of the role but could be subject to change as the impact of primary care network commissioning evolves. Listed below are some of the role's admin work:

Processing patient registrations and patient deductions

Reviewing and securely filing of electronic patient documents and pathology results

Medical coding, maintaining screening records, GP2GP, Out of Hours reports and summarising

Monthly data returns for enhanced services

Patient queries, emails, Proxy forms, Coroner's requests

EMIS GP Workflow and Docman tasks

Liaising with PCSE queries re patient data queries

Providing admin support to the Managing Partner and GP Partners when required

Providing support with training where needed for any new team member

Duties will vary from time to time under the direction of the Managing Partner and GP Partners and is dependent on current and evolving practice workload and staffing levels.

Management and Admin Support



The Administrator may also be required, at times, to support the Clinical Director and the PCN Manager with administrative duties. This will be adhoc work; the post holder will need to be able to delegate, follow up, and be able to report back to the PCN Management team in a clear and concise manner.

They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately In the performance of the duties outlined in this job description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

The post-holder will:

Apply practice policies, standards and guidance Discuss with other members of the team how the policies, standards and guidelines will affect own work Participate in audit where appropriate

Security



The security of the practice is the responsibility of all personnel. Staff must ensure that they remain vigilant at all times and report any suspicious activity immediately to their line manager. Under no circumstances are staff to share the codes for the door locks with anyone and they are to ensure that restricted areas remain effectively secured.

PERSONAL/PROFESSIONAL DEVELOPMENT



The post-holder will participate in any training programme implemented by the practice as part of this employment, such training to include:

Participation in an annual individual performance review, including taking responsibility for maintaining a record of own personal and/or professional development Taking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work
