The Global Business Support Executive plays an essential role in NLight's global operations, providing comprehensive administrative, logistical, and operational support to our international teams. Based in our UK office in Bingham, this role involves regular collaboration with remote teams worldwide, particularly in the Netherlands. The successful candidate will be proactive, confident, and capable of effectively managing cultural differences and diverse team dynamics, with travel required periodically.
Key Responsibilities
Global Office and Travel Management
Coordinate and manage international and domestic travel arrangements, including flights, accommodations, visas, and logistics.
Oversee company car allocations, scheduling maintenance, and managing associated documentation.
Manage office supplies inventory in both the UK and Netherlands, ensuring continuous availability of essential resources.
Lead and coordinate new employee onboarding processes, including arranging equipment, induction schedules, welcome materials, and office logistics for both UK and remote team members.
Event and Exhibition Management
Plan, coordinate, and manage international events, exhibitions, and promotional activities, ensuring seamless execution.
Coordinate all event logistics including venue arrangements, marketing materials, and stakeholder communications.
Act as the central point of contact for internal and external stakeholders involved in event planning.
Work closely with the external marketing team to align event messaging, collateral, and brand presence.
Customer Experience and Communication
Work closely with Sales, Logistics, Procurement, and Business Development teams to ensure exceptional customer journeys from initial enquiry to post-sale follow-up.
Use internal software systems to ensure visibility and traceability of the customer journey, helping secure a smooth sales process and post-sale delivery.
Promptly address customer inquiries, providing clear, accurate, and helpful information.
Collaborate with the sales team to identify recurring client issues or concerns and allocate internal resources or escalate to relevant departments for resolution.
Continuously monitor customer feedback to identify areas for improvement and implement necessary enhancements to the customer experience lifecycle.
Data Management and CRM Coordination
Maintain accurate and secure electronic and paper records, ensuring easy access and confidentiality.
Act as the lead administrator for the CRM system, ensuring client records, lead tracking, and documentation are consistently up to date.
Train sales staff on how to use the CRM system effectively, ensuring best practices are followed across teams.
Work in close coordination with the Strategy Director, who oversees the commercial side of CRM usage, to maintain system alignment and strategic priorities.
Compile market intelligence reports, delivering actionable insights to support strategic decision-making.
Administrative and Interdepartmental Support
Provide administrative support across multiple business functions, including scheduling meetings, preparing presentations, and facilitating internal communication.
Assist senior management in strategic planning initiatives and the execution of business strategies.
Manage contractual documentation meticulously, ensuring compliance and proper record-keeping.
Collaboration with Global Teams
Foster strong working relationships with international colleagues, navigating cultural sensitivities with confidence and diplomacy.
Act as a liaison between UK-based and remote global teams, ensuring clear and effective communication.
Skills and Qualifications
Essential
Exceptional organisational skills with proven experience managing complex administrative tasks.
Strong personality with excellent interpersonal skills, capable of confidently handling interactions with diverse and strong personalities.
Experience in event coordination, ideally within an international context.
Proficient in Microsoft Office suite and CRM systems.
Exceptional written and verbal communication skills.
Proactive self-starter, capable of independent work and decision-making.
Desirable
Previous experience in international business environments or remote team management.
Experience in market research and data analysis.
Knowledge of additional languages, particularly Dutch.
