Job Description

Deane Golf Club is a long established private members club which offers excellent clubhouse facilities including a high standard of catering. Our club professional runs a well-stocked shop and offers teaching and coaching lessons in a purpose built indoor facility.

The successful candidate will supported by an Assistant Secretary who is employed on a part-time flexible hours arrangement.

The successful applicant will oversee all administrative operations at the golf club and play a key role in the recruitment and retention of members. The person appointed must have excellent interpersonal skills which is reflected in high standards of service to members and guests with strong organisational and communication skills to maintain and enhance the club's reputation and member satisfaction.

Qualifications



Excellent IT skills, proficient in Microsoft Office with an understanding of BRS and Club 2000 systems

Administrative experience and organisational skills with an ability to manage multiple tasks and prioritise effectively

Strong interpersonal skills and a customer focused approach to support and manage others

Fully conversant with clerical tasks and office operations with an attention to detail and accuracy in record keeping

Excellent written and verbal communication skills

Previous experience in coordinating golf related activities

Administrative Duties



Provide administrative support to the Chairman and Directors of the golf club

Support the preparation and distribution of agendas, minutes and reports of meetings

Manage correspondence, emails and phone calls, ensuring a prompt response to enquiries

Maintain organised records of all club activities including policies, events and communications in compliance with Deane Golf Club's Constitution and Rules

Maintain the club's membership database ensuring accurate and up-to-date records of all members

Take responsibility for processing membership applications, renewals and resignations

Communicate all relevant information with reference to benefits, policies and updates to members

Oversee the management and production of the Deane Golf Club Fixture Book in collaboration with the Director of Handicaps

Where necessary refer to the appropriate Director or the Chairman of the Club when dealing with matters of concern or complaints and ensure that they are dealt with in a professional and timely manner

Coordination of Club Events



Take responsibility, liaising with the Director of House, the House Manager and Caterer, in planning and coordinating all formal club functions

Liaise with the appropriate Director and event organisers to ensure successful outcomes in all other planned club functions

Assist in promoting club events through various communication channels, including newsletters, social media and the club website

Communication and Marketing



Develop and implement communication strategies to keep members informed and engaged.

Assist the appropriate Director in maintaining the club's website and social media management ensuring the content is current and relevant

Compliance and Governance



Ensure that the golf club complies with all relevant laws, regulations and policies including those within the Deane Golf Club Constitution and Rules

Maintain confidentiality and data protection standards in handling members information

Assist in the development and implementation of club policies and procedures working closely with the Chairman and Board of Directors

Ensure that the club complies with all Health and Safety regulations, liaising with those responsible for maintaining high standards throughout the golf club

Job Type: Part-time

Pay: 20,000.00-22,000.00 per year

Expected hours: 24 per week
