The Governance & Assurance Team is a critical part of the Assurance & Business Services Directorate. As the Governance Assistant you will play an important role in supporting our team to provide a full governance service to Citizen's Boards and Committees, involved customers and colleagues across Citizen and maintaining the highest standards of service for a range of stakeholders.
You will be responsible for supporting all aspects of governance administration from arranging meetings and preparing agendas to tracking actions and supporting the completion of annual members appraisals and cyclical probity checks. You will also have the opportunity to review and enhance our existing processes.
The role also supports our internal audit programme, and in particular ensuring all relevant meetings are arranged, documentation collated and submitted and recommendations tracked and reported to Audit & Risk Committee.
Hours: Up to 37 per week (reduced hours would be considered) / Hybrid working (minumum 2 days per week in office)

Key Responsibilities:
Support the Governance & Assurance Team to provide a full governance administration support service to Citizen's Boards and Committees and colleagues across Citizen.
Support the Governance Officers in ensuring that Citizen's Governance framework and supporting policies and procedures are adhered to.
Specific responsibility for maintaining key governance registers, records and trackers such as the signing and sealing register, Board & Committee member appraisal records and meeting action trackers.
Support the internal audit process with the arrangement of audit meetings, tracking recommendations and reporting progress to Audit & Risk Committee.
Support the Board and Committee annual appraisal and 121 process including preparation of documents, maintaining records and actioning outcomes.
Design and maintain effective systems and solutions to support effective governance.
Qualifications and experience:
Highly developed organisational skills, able to manage multiple objectives, priorities, and projects effectively.
Ability to communicate clearly and effectively at all levels - excellent spoken, written and presentational skills to a variety of audiences.
Ability to work with utmost discretion to ensure all work and information issued or held by the Governance Team is treated with strictest confidentiality.
Experience of building relationships and working effectively with a range of internal and external stakeholders and the ability to work with Board and Committee members and senior colleagues.
Strong Influencing and negotiation skills to enable effective operation and relationship building at all levels.
Proficient in use of MS Officer software, in particular Outlook, Word and Powerpoint and ability to pick up new IT systems quickly.
Ability to analyse situations and problems and determine effective solutions under pressure.
Ability to demonstrate commitment to excellent customer service.
Ability to manage, organise and prioritise your own workload.
Knowledge and understanding of key principles of good governance (desirable)
Experience of working within a regulated environment (desirable)
Knowledge and understanding of the Social Housing Sector (desirable)
