Overview



We are seeking a proactive and organised Governance Assistant to support the Company Secretary of GGB-UK. This role requires excellent communication skills, the ability to multi-task, and flexibility to thrive in a dynamic and evolving environment. You will work well under pressure to meet tight deadlines with a positive and can-do attitude. The role is part-time, requiring 21 hours per week, ideally spread across 4 days.


This is an exciting opportunity to work at the heart of a leading global insurance brokerage, where you will gain invaluable experience in corporate governance and executive support. You will have the chance to interact with senior leaders and Non-Executive Directors, contributing to the smooth operation of high-level meetings and decision-making processes. Your role will be pivotal in ensuring the effective management of the governance calendar and supporting the strategic objectives of the organisation. This position offers a unique blend of responsibility, variety, and the opportunity to develop your skills in a supportive and innovative environment.





How you'll make an impact



Arrange Board of Directors and Executive management meetings. Support the Company Secretary in the coordination of meeting schedules for the Non-Executive Directors (NEDs) and assist with other NED support, including processing expense claims. Own the Annual Programme of Board and Committee meetings and manage the Governance Calendar. Prepare and distribute Board and Executive Management meeting packs via the electronic Board Portal. Coordinate with Executive Assistants to ensure meetings are aligned with the Executive schedule. Prepare meeting rooms with necessary IT requirements and refreshments. Provide direct support to the Company Secretary, including drafting correspondence and other administrative support. Serve as the gatekeeper and first point of contact for meeting enquiries. Assist with general office duties such as printing, photocopying, and scanning documents. Set up video/audio/teleconferencing as required and coordinate electronic filing of business documentation.



About You



Experience supporting a Cosec function, C-level Executive, or Non-Executive Director preferred. Educated to A-Level standard or equivalent is desirable. Ability to manage complex and highly confidential information. Strong secretarial skills with good spelling and grammar. Comfortable working to tight deadlines and adaptable to changing demands. Excellent interpersonal skills with diplomacy, tact, and empathy. Proficient in MS Office and willing to learn new technology. Experience using a Board Portal is desirable.
