Job Summary



To be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, patient registration, booking appointments, processing of information (electronic and hard copy) and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

Induction Training



On arrival at the practice all personnel are to complete a practice induction programme; this is managed by the Reception Supervisor .

Learning and Development



The effective use of training and development is fundamental in ensuring that all staff are equipped with the appropriate skills, knowledge, attitude and competences to perform their role. All staff will be required to partake and complete mandatory training as directed by the training coordinator, as well as participating in the practice training programme. Staff will also be permitted (subject to approval) to undertake external training courses which will enhance their knowledge and skills, progress their career and ultimately, enable them to improve processes and service delivery.

Collaborative Working



All staff are to recognise the significance of collaborative working. Teamwork is essential in multidisciplinary environments. Effective communication is essential and all staff must ensure they communicate in a manner which enables the sharing of information in an appropriate manner.

Service Delivery



Staff at Addison House Surgery must adhere to the information contained with practice policies and regional directives, ensuring protocols are adhered to at all times. Staff will be given detailed information during the induction process regarding policy and procedure.

Security



The security of the practice is the responsibility of all personnel. Staff must ensure they remain vigilant at all times and report any suspicious activity immediately to their line manager. Under no circumstances are staff to share the codes for the door locks to anyone and are to ensure that restricted areas remain effectively secured.

At Addison House Surgery staff are required to dress appropriately for their role.

Primary Responsibilities



The following are the core responsibilities of the receptionist/administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

Maintaining and monitoring the practice appointment system Process personal, telephone and e-requests for appointments Answer incoming phone calls, transferring calls or dealing with the callers request appropriately Signpost patients to the correct service Process incoming and outgoing mail , including electronic correspondence adhering to Practice policies Scanning of patient related documentation and attaching scanned documents to patient's healthcare records Read code data into the patient's healthcare records Process repeat prescriptions, ensuring they are processed accurately and efficiently Initiating contact with and responding to, requests from patients, team members and external agencies Process referrals to external agencies such as community and secondary care Photocopy documentation as required File and store records as required Data entry of new and temporary registrations and relevant patient information as required Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team Manage all queries (including administrative queries) as necessary in an efficient manner Assist patient with access to online services registration Arrange patient ambulance transportation Arrange interpreter services for patients Carry out system searches as requested Maintain a clean, tidy, effective working area at all times Monitor and maintain the reception area and notice boards Support all clinical staff and management team with general tasks as requested Support administrative and reception staff, providing cover during staff absences Complete opening and closing procedures in accordance with the duty rota
