Job Description

We are looking to recruit a receptionist for 16hours per week.

The role requires an enthusiastic, pleasant and friendly manner. The ideal candidate should be able to work efficiently and effectively in a very busy environment.

Responsibilities will include booking appointments, answering and making telephone calls, dealing with queries from patients, clinicians and other health professionals, prescription requests, photocopying, filing, processing new patient registration forms & undertaking general administration tasks.

I.T. experience is essential & previous experience in a GP practice could be advantageous, but full training will be provided.

Hours:

16 hrs pw

Anticipated Working Rota (After induction):



Tuesday - 1:30pm til 6:30pm Thursday - 1pm til 6pm Friday - 8am til 2pm



Shifts will be fixed, but swapping shifts is allowed. Shift pattern will be discussed and agreed with the successful candidates.

Please anticipate that the Friday working hours will change to 12noon til 6pm within 4 months of starting.
INDUCTION: During the 4 week induction, working pattern will likely be 9am til 3pm on Monday, Tuesday and/or Thursday.



Salary: 12.21ph Advert end date: 22/10/25 (May close earlier if interest is high) Interview Invites being sent: 23/10/25 Interviews: 30/10/25, 10am onwards. Date can't be moved. : Receptionist



1. Job Purpose



The Receptionist serves as the first point of contact for patients and visitors, both in person and by phone. Acting as an ambassador for the practice, the post holder will provide a professional, efficient, and compassionate service, ensuring patients receive the right care from the right professional at the right time.

This role includes telephone triage and face-to-face reception duties, supporting smooth day-to-day operations of the surgery. The Receptionist will work closely with clinicians and other healthcare professionals to ensure efficient patient care and accurate management of appointments, referrals, and administrative tasks.

2. Key Duties and ResponsibilitiesPatient Communication and Support



Provide clear, accurate, and empathetic information to patients while maintaining confidentiality at all times. Communicate in a calm and reassuring manner, helping patients feel at ease and supported. Use appropriate questioning techniques (after training) to fully understand the nature of a patient's query or concern. Identify urgent or potentially serious issues and immediately alert the appropriate clinician (e.g., on-call GP, Nurse Practitioner). For non-urgent matters, agree on suitable appointment times and match patients with the most appropriate healthcare professional.

Service Knowledge and Patient Navigation



Develop a thorough understanding of the services available within the practice, cluster, and wider NHS/local health community. Guide patients to the most suitable service--whether internal or external--to best meet their needs. Use sound judgment to prioritise patient needs, distinguishing genuine urgency from non-critical cases. Demonstrate confidence, sensitivity, and assertiveness when handling patient enquiries.

Collaboration and Teamwork



Build effective working relationships with colleagues, clinicians, and healthcare partners. Support management in implementing new processes and service improvements. Contribute to an efficient and positive working environment that promotes excellent patient care.

Administrative Responsibilities



Handle patient registration, deductions, and general administrative duties accurately and promptly. Process patient appointment requests, ensuring timely and appropriate bookings. Manage telephone enquiries efficiently, achieving the best outcomes for both the patient and the practice. Record all patient encounters, correspondence, and outcomes accurately in the clinical system. Process prescription requests, medication reviews, and follow-ups using the clinical software system. Support with administrative and secretarial duties as required.

Work within the scope of the role and seek guidance when necessary. Manage patient concerns and escalate risks or complex cases appropriately. Maintain discretion, professionalism, and high-quality service standards at all times.
