JOB SUMMARY
To assist with the smooth running of the Groups Department, whilst ensuring that it maximizes turnover and profit contribution to the Hotel. To answer all group enquiries within the two hour turn round to maximize Oceana Hotels opportunities of winning the contracts. Ensuring your actions enhance the Guest Experience.
Main Responsibilities
To ensure all incoming enquiries (telephone, written, e-mail) are dealt with quickly and efficiently, answering all calls within 3 rings.
All group enquiries are answered within the two hour turn around.
To manage and place groups to maximise bedroom availability in Oceana Hotels whilst maximizing group options to maximise high rates of occupancy across the group.
To have an up to date knowledge of key dates ie Half Term, Bank Holidays, Air show etc. where group rates are affected by demand and market supply
To ensure that all group bookings are entered correctly, monitored and up dated regularly, to chase options and ensure that deposits are taken correctly, working in conjunction with Central Reservations Manager
To ensure that all group files are maintained so that all information is readily available and comprehensible in your absence.
To report any discrepancies immediately to the Duty Manager or General Manager absence.
To make sure all group rates and rate contracts are correct and entered on the system correctly.
To be fully conversant with, all promotional offers, future package offers and voucher schemes.
Ensure that sales ledger accounts are charged and processed correctly.
Ensure high standards of customer service.
Assist Managers with information on any complaints or queries
To be fully conversant with the Hotel's Health & Safety policy and to be totally aware of all the Hotel's fire and emergency procedures.
To maintain rate updates and correct information in the PMS
To carry out any other reasonable request made by the Groups Department staff, Revenue Manager, Sales Manager Operations Manager and Operations Director
To attend training when required

Requirements
Knowledge of the hospitality industry
Must have commercial acumen
Relevant training and culinary qualifications
Ability to work under pressure
Having a "can do" attitude and willingness to learn
Ability to work unsupervised, motivated and focused
Great attention to detail
Good communication skills and fluent in spoken English
Have a legal right to work in the UK
