ABOUT EDINBURGH INTERNATIONAL FILM FESTIVAL



Edinburgh International Film Festival (EIFF) is the world's oldest continually running film festival and, in 2024, relaunched as a brand new entity with a new board of industry leaders. Honouring 70+ years of festival history, EIFF showcases the very best filmmaking talent in a re-energised format that is rooted in a local Scottish context whilst embracing the international diversity of creative expression.

Guest Drivers Assistant

Purpose of the role



Working within the Guest Services team, the Guest Drivers Assistant will assist with the coordination of all ground transfers for Festival guests. Under the instruction of the Guest Drivers Coordinator, this will involve close communication with all members of the Guest Services team, as well as liaising with key stakeholders including filmmakers, talent agents, distributors, publicists, sales agents and sponsors. The role will support creating daily transport grids, producing driver job sheets, coordinating car arrivals and departures at Festival venues, booking taxis and monitoring taxi spend, scheduling car battery charging, and managing drivers' Petty Cash.

The Guest Drivers Assistant sits within the Guest Services team, including Guest Services Manager, Guest Services Coordinators, Registrations Coordinator,

Registrations Assistant, Hospitality Coordinator, Hospitality Assistant, Guest Drivers Coordinator and Guest Drivers.

Responsibilities



? Support the setup and functioning of all administrative systems related to managing the car fleet, ensuring accuracy and efficiency;

? Work closely with the Guest Drivers Coordinator and Guest Services Manager to document, update and maintain all relevant processes;

? Assist in producing and distributing detailed daily transport grids and individual driver schedules, ensuring clarity and timeliness;

? Assist in setting up, managing, and continuously updating guest pick-up and drop-off schedules using the Festival's management platform (Filmchief);

? Communicate with external stakeholders, such as distributors, to support their guest transportation needs and ensure smooth coordination;

? Collaborate with the Guest Drivers Coordinator and Press Agency to finalise Red Carpet drop-off arrangements and schedules;

? Support management of car arrivals and departures at Red Carpet events and Festival venues, ensuring seamless operation;

? Liaise with hotels, Festival venues, and local authorities to help arrange parking and signage for Festival cars as needed;

? Assist in managing taxi requests and the Festival's corporate taxi and Uber accounts, ensuring cost-effective solutions;

? Support the induction and management of Guest Drivers by providing training, support, clear schedules, and rotas, ensuring adherence to codes of conduct;

? Help supervise the pick-up and return of cars from the vehicle provider, ensuring accurate documentation and reporting;

? Monitor vehicle condition and report maintenance issues promptly to the Guest Drivers Coordinator and vehicle provider;

? In case of damages or accidents, support prompt reporting to the Guest Drivers Coordinator and vehicle provider, facilitating repairs or replacements;

? Assist in ensuring the Festival meets all legal requirements concerning vehicles and drivers, including insurance arrangements and scheduling breaks for drivers;

? Facilitate late-night transport for Festival staff as required, coordinating with Guest Drivers and taxi services;

? Monitor taxi expenditure and maintain accurate financial records, providing updates as required;

? Oversee fuel and charging needs for all vehicles, reporting any issues promptly;

? Attend EIFF morning meetings as required by the Guest Services Manager;

? Liaise with other EIFF teams to ensure timely and organised information sharing across departments;

? After the Festival, produce comprehensive reports on car and taxi usage, consolidating final expenditures.

General



? Communicate effectively with colleagues and departments across the Festival to share information, achieve deadlines and promote a positive working environment;

? Attend meetings and provide progress and financial reports as required;

? Always act in accordance with EIFF policies and procedures;

? Carry out other duties as reasonably requested by line management.

TERMS AND CONDITIONS



Working days

5 days a week by agreement within standard office hours of 9.30 to 17:30, Monday to Friday. At peak times, and particularly immediately before and during EIFF, it will be necessary to work outside standard hours and at weekends. Payment of overtime is not applicable to this post.

Fixed term contract. 6-21 August 2025

Salary

25,350 pro rata

Holiday entitlement

25 days per annum plus public holidays, pro rata plus 10

public holiday of which 5 are fixed and 5 are floating days

Working arrangements

Based at EIFF offices in Techcube in Summerhall. Hybrid

working arrangements can potentially be discussed and agreed.

accordance with Part 1 of the Pension Act 2008, as amended or replaced from time to time
