About the Role



We are looking for a highly organised

Guest Relations Manager

to own the end-to-end patient journey and manage daily clinic operations. You will be the

first point of contact

for all clients, ensuring a seamless, 5? experience, while supporting our health team and managing clinic flow. This is a dynamic role for someone who thrives in a fast-paced, premium wellness environment.

Key Responsibilities



Serve as the

primary contact

for all clients, handling queries, onboarding, appointments, and payments. Welcome visitors warmly, creating a

premium first impression

and maintaining a professional reception. Supervise concierge communications across

HubSpot, Aircall, WhatsApp

, and oversee virtual assistants. Manage the

clinic diary (Pabau)

and day-to-day

clinic flow

, coordinating check-ins, consultations, and follow-ups. Support health practitioners by collecting

consent forms, Medical Symptoms Questionnaires (MSQs)

, and preparing patient files. Prepare, track, and dispatch

supplement plans and boxes

based on clinician recommendations. Track and monitor the

client journey

, ensuring all interactions, appointments, and follow-ups are logged. Support events, workshops, and referral campaigns to drive new business and client retention. Generate reports on sales, service KPIs, and operational performance for management review.

What We're Looking For



Proven experience in

guest relations, clinic administration, or client services

, preferably in health, wellness, or luxury environments. Excellent communication and interpersonal skills, with a

passion for client care

. Highly organised, detail-oriented, and capable of managing multiple priorities. Comfortable handling sensitive patient information with discretion. Proficiency in

CRM systems (HubSpot preferred) and Pabau

. Strong sales acumen and ability to maximise client lifetime value. Confident leading and supporting a small team of concierge/virtual assistants. Flexible and adaptable, with the ability to work evenings and weekends as needed.
