Main purpose of the role:
The purpose of the
Head of Operations and Finance
is to provide the necessary professional expertise to enable the Charity to successfully execute its strategy and achieve its objectives on time and within budget, while exceeding stakeholder expectations.?As the Head of Operations and Finance, you will ensure the financial, operational, and governance integrity of Derman, enabling the organisation to function effectively.
The role provides strategic oversight of outsourced finance, HR and IT services, ensuring compliance with legal, financial, and governance requirements. You will work closely with the CEO, MC and the other managers to support decision-making, maintain strong governance, and drive operational efficiency.
KEY RESPONSIBILITIES & ACCOUNTABILITIES:
Organisational Management & Governance
Assisting Chief Executive Officer and Board of trustees.
Contributing towards the maintenance, improvement, development and promotion of Derman's services and its systems.
Overseeing/managing our outsourced providers in finance, HR, and IT, ensure compliance with legal and regulatory standards, and support the CEO with governance and day-to-day operations as well as providing admin support to the Board of Trustees.
Ensuring compliance with charity, company, and employment law
Managing Derman's administrative staff for the smooth running of the office.
Developing and maintaining administrative, filing and information and monitoring systems including IT systems.
Maintaining business continuity plans and IT risk management
Keeping organisation's internal systems efficient, secure, and fit for purpose
Being responsible for the safe keeping of all confidential materials and documents of importance to the organisation including all staff records.
Ensuring all monitoring and project report deadlines are adhered to by staff and delivered on time to the relevant places.
Overseeing the implementation of effective HR and recruitment procedures, record-keeping, staff development staff surveys and away days.
Leading/overseeing organisation's Information Governance processes/work
Financial management
Maintaining and developing a sound system of financial management and control, working closely with CEO and the outsourced provider.
Leading on day-to-day financial operations including management accounting, timely issue of invoices to clients and funders and collection of receipts, cash flow management, overseeing petty cash, company credit cards, donations and payments, and purchase invoices.
Overseeing/managing financial processes including budgeting, reporting, payroll, audit coordination and carrying out all related tasks and ensuring compliance with Charity Commission and Companies House financial requirements.
Advising on budget drafting and resourcing for new activity and funding bids, including developing and implementing the full cost recovery model
Managing contracts, procurement, and relationships with outsourced providers
Being responsible for the filing and safekeeping of all financial records.
Maintain appropriate insurance cover for the charity's activities
Leadership & Service management
Contributing towards the development, management and overseeing of Derman's services/projects.
Overseeing and monitoring the staff's professional development.
Motivating the teams, identifying learning and development opportunities wherever possible
Promoting the services and the organisation via the development and maintenance of effective networks with principal funders, supporters and stakeholders.
Acting in line with all the policies and procedures of the organisation and in line with all relevant legislation.
Pursue opportunities for the expansion of the services and the organisation.
Liaising with other agencies and professionals in the area, attending training, meetings and conferences as required.

Education and qualifications
Educated to degree level or equivalent
Fully-qualified accountant (desirable)

Minimum 5 years' senior leadership or operational/financial management experience in a multi-disciplinary organisation, ideally within a community, charitable, social enterprise setting.
Experience supporting governance, compliance, and regulatory requirements, and ensuring adherence to charity and company law.
Excellent planning, organisation and performance management skills.
Demonstrable experience of planning and managing budgets and business planning.
Excellent writing and reporting skills, including the ability to summarise complex data and issues for decision-makers.
Ability to analyse information, and formulate practical and reasoned operational plans that can be easily understood and monitored.
Experience in culture and wellbeing initiatives, fostering a positive workplace environment.
Experience working with Boards of Trustees and governance structures.
Excellent risk management, problem-solving, and decision-making skills.
Strong stakeholder engagement skills, with proven experience of building relationships with funders, partners, and regulatory bodies.
Proven ability to lead, guide and motivate diverse teams and to support the professional growth of those who report to you as a line manager.
Demonstrable experience of good practice approaches to conflict resolution, working in collaboration with others and encouraging honesty, transparency and open ways of working across teams that benefit the organisation's effectiveness and efficiency.
Able to maintain and improve policies, procedures and systems.
Fluency in both written and oral Turkish and English
Ability to identify and develop appropriate responses to health and social care needs of the Kurdish, Turkish and Turkish Cypriot communities
Premises management.
Experience in charity fundraising operations.
Knowledge of GDPR, data protection, and cybersecurity best practices.
Understanding of health and safety, facilities management.
Experience with Microsoft 365, including SharePoint and other data management tools.
