Head of Patient Administration

to lead our front-of-house team and drive administrative excellence across the practice.

About the Role



This is a key management position within our practice. The successful candidate will be responsible for overseeing the day-to-day operations of the reception and administration team, ensuring smooth patient journeys, and supporting the practice manager in delivering operational targets and exceptional customer service standards.

Key Responsibilities



Lead and support the patient administration team to deliver a warm, professional front-of-house experience Manage appointment diary coordination, ensuring optimal clinical utilisation and minimal downtime Monitor and report on key performance indicators (KPIs), including UDA delivery, appointment booking efficiency, and patient satisfaction Train, mentor and supervise junior reception staff, supporting their development and maintaining high performance Handle complex patient queries, complaints, and escalation in a calm and solutions-focused manner Work closely with the clinical and management team to support operational goals and compliance standards Ensure smooth processing of NHS claims, private billing, and accurate data entry using practice software (e.g. SOE/Exact) Assist with rotas, holiday planning, and general admin tasks where required

About You



Proven experience in a senior reception, administration or front-of-house management role (dental/healthcare setting preferred) Strong understanding of dental practice operations and/or NHS/private workflows Confident in using dental software (ideally SOE/Exact) and Microsoft Office Excellent interpersonal, communication and organisational skills Ability to motivate a team, lead by example, and work collaboratively with clinical and management colleagues Calm under pressure, solution-oriented and highly professional at all times
