Job Description

Main Tasks, objectives & key responsibilities



Conduct employee inductions and coordinate mandatory training.

Maintain training records and ensure required safety certifications are tracked.

Administrate documentation in SharePoint and support audit preparation.

Attend, review and populate all company RAMS and follow up with review meetings.

Support with incident investigations including organising meetings, taking notes and preparing draft reports for the Health, Safety and Compliance Manager.

Perform fire alarm testing and help to plan and prepare evacuation drills for the company and coordinate the additional company site tests and evacuations. Ensuring the fire testing and drills are organised and recorded.

Support the Health, Safety and Compliance Manager with site audit reports and make records following the managers visit.

Monitor, review and update as required all equipment and machinery inspections and coordinate with relevant managers to arrange inspections and certifications.

Monitor and review the status of the company insurances and certifications.

Handle PPE inventory. Order and support Operations with any PPE enquiries.

Provide and take care of access passes for contractor and visitor processes.

Arrange meetings between Health, Safety and Compliance Manager and other department managers.

Arrange site visits and audits where necessary.

Keep the Health, Safety and Compliance planner up to date,

Support the Health, Safety and Compliance Manager to prepare safety awareness and toolbox talks that will be sent to all employees to raise the Health and Safety awareness across the company.

Documentation & record keeping



Maintain the health and safety records and documentation (policies, procedures & manuals) and monitor expiry and review dates. Reporting these dates to the manager.

File and track accident and incident reports.

Update compliance logs, registers and spreadsheets.

Prepare routine reports and data summary reports.

Risk assessments



Support the process by formatting documents.

Ensure the risk assessments are logged, reviewed and stored correctly.

Track review dates and prompt/ action when updates are due.

Incident & accident management



Administrate incident and accident reports.

Log incidents and near-misses into systems.

Ensure correct forms and documentation are completed.

Track the statues of investigations and corrective actions.

Compliance & regulatory support



Maintain compliance calendars and action any reminders.

Support the preparation process for external audits or inspections.

Coordinate statutory testing schedules (e.g. fire alarms, PAT testing).

Review and update attendance records & Track employee certification expiry dates.

Secure Location Access



Request relevant information and details for access passes for Engineers both temporary and permanent.

File and store all access pass information and documentation in a secure SharePoint folder.

Work with Field Services and Client Services to update the Engineers' details tracker.

Undertake the role of authorized signatory for airport access. Possess and submit the applications for temporary and permanent passes as required.

Provide the Health, Safety and Compliance Manager with regular updates regarding the airport and train station pass applications.

In addition to the above duties the post holder must be prepared to undertake such additional duties which may result from changing circumstances.

IOSH Managing Safely.

NEBOSH General Certificate.
