We are looking for a proactive and detail-focused Healthcare Plan Administrator to support the smooth day-to-day operation of the plan across our practices.




Role Overview





As the Healthcare Plan Administrator, you will provide vital administrative and operational support. You will be responsible for ensuring the plan runs efficiently, data is accurate, and clinics are fully supported. This includes working with platforms like TrustVet, VidiVet, and ProVet, and liaising with internal teams and external stakeholders on operational matters.




Key Responsibilities




Practice Support & Query Management




Serve as the first point of contact for plan-related queries from practices. Maintain a query log and ensure timely follow-ups, escalating complex issues to the Healthcare Projects Lead. Maintain up-to-date documentation and FAQs to support practice teams.

Onboarding & Operations Support




Coordinate the onboarding process for new practices joining the plan. Prepare and maintain onboarding checklists, templates, and training resources. Track onboarding progress and support data entry/system setup with the central teams.

Administrative & Reporting Support




Assist in preparing reports, summaries, and dashboards. Help organise meetings, training sessions, and communication updates to practice teams. Maintain digital records and documentation for auditing and process improvement.



About You




Strong administrative and coordination skills with great attention to detail. Confident in using and learning software platforms (ProVet, TrustVet, VidiVet). Excellent communication and organisational skills. Proactive, team-focused, and solutions-driven.



Desirable




Experience in a veterinary, healthcare, or multi-site customer service environment. Familiarity with subscription or membership-based services. Previous experience using practice management software.
