Apodi is seeking a dedicated, compassionate and detail-oriented Healthcare Project Co-Ordinator to join our dynamic team. This role is central to our operations, ensuring smooth communication and efficient processes across our healthcare projects.
Role Summary:
As a Healthcare Project Coordinator, you will be an integral member of the project team, providing essential support to both the Project Managers and the Healthcare Professional Team. You will serve as the central point of contact and your primary responsibility will be to assist in ensuring that all projects are delivered according to the agreed timelines, within the defined scope, and in line with budgetary requirements. In addition, you will help uphold a professional and seamless service for the designated project(s), ensuring that all stakeholders experience a consistent and high-quality level of service throughout the project lifecycle.
Our office is based in Maidenhead, and this is a hybrid role.
Key Responsibilities:
To assist with trust engagement process via the completion/processing of compliant documentation, liaising with relevant stakeholders at Trust(s) and working with the PMs to act as a central communication hub.
To support the PMs to provide necessary contract documents upon Trust/Hospital sign up to the service being provided, liaising with the client as directed by the PMs.
To work with the PMs to drive the onboarding process of new personnel, including the timely completion of Trust Honorary Contracts.
Work with the PM to facilitate weekly/monthly client meetings, prepare agendas, and document decisions and action items and attend client review meetings where required.
To provide relevant information to support the PM in the preparation of the project monthly reports, through close monitoring of the data trackers/Patient Management system relevant to the project(s).
Ensure projects comply with NHS standards, CQC regulations, GDPR, and other healthcare-specific policies
Help prepare documentation for audits or inspections.
Escalate issues to PMs or clinical governance teams as needed
Support change management efforts to ensure smooth adoption of new practices.
To support the PM to ensure that all Daily Clinic Work Report Forms (DCRF's) are received from the relevant nurses/HCPs and are checked.
To support the PM to ensure that all payroll information relating to the nurses is captured and reported to HR in accordance with the monthly payroll deadlines.
To ensure compliance Adverse Event reporting requirements, reporting AEs in line with SOP guidance for the specific project(s)
To assist in the delivery of the project KPIs.
To act as back up support for answering the inbound patient lines.

Essential Requirements:
Considerable successful experience in busy, multi-taking, customer oriented/administrative roles (project co-ordinator experience and/or experience within the pharmaceutical/healthcare sector would be a distinct advantage).
High level of discretion and confidentiality.
Experience of working in a team environment and successfully managing customer relationships.
Clear Disclosure and Barring Service (DBS) check.
Knowledge and Skills:
A levels - minimum C grade (or equivalent).
GCSEs (or equivalent) minimum Grade 5, English & Maths and 4 other subjects.
Previous telephone work - answering phones professionally, effectively.
Must be highly proficient and experienced in the use of all MS Office applications (Word, PowerPoint, Excel, Outlook, Teams etc).
An understanding of the pharmaceutical industry and/or the NHS would be advantageous.
