About The Role:

Main Purpose:





To assist and support the Centre Head and The Leisure Operation Manager to deliver a comprehensive service to our client. To receive customers, take bookings, answer the telephone and aid the public in compliance with contractual requirements while maintaining high standards of customer care


Duties & Responsibilities:




Responsible for making bookings, recording these bookings accurately on the Pylon booking system and the Legend System Respond to client enquiries in a timely manner by phone or email Effectively manage all sites venue space ensuring optimal utilisation. Plan and book events /Lets, work with the client to find the best location and services for their needs Manage clients and suppliers, and ensure they meet health and Safety needs in line with good industry standards. Coordinate and work with onsite teams, such as catering staff, technicians and operational management. Act as the primary contact for all bookings. Provide confirmation emails to clients detailing their requests. Monitor and analyse feedback to act on and improve. Monitor booking trends and generate reports to identify areas of improvement Produce reports on a weekly basis to assist the Soft Services Supervisors allocation of cleaning. Produce monthly reports to send to credit control for client invoicing Update graphs monthly to assist with reconciliation Run reports for reconciliation purposes Send and store reports accurately electronically Assist with ELC School annual diary submission Responsible for ensuring visitors, contractors, etc. who attend the Centre on official business are inducted in accordance with procedures These duties and responsibilities may be changed in accordance with the needs of the company; the post holder may be required to provide support to holders of other posts according to changes in workload and patterns of working.

Skills & Knowledge:




An experienced Receptionist / Administrator with at least 3 years' relevant experience or person with experience in a clerical position is preferable.

Essential:




Excellent communication skills both written & verbal Strong customer facing skills Proactive and flexible team player. Ability to react under pressure Attention to Detail Computer literate Ability to prioritise. Cash handling

Desirable:




SVQ Level II (Administration) HNC Office/Business Administration Experience in a similar role
