Munns Limited are currently recruiting for a

Facilities Management Helpdesk Administrator

looking to take on the next challenge in

Facilities Management.



This position is NOT suitable for IT Support applicants.



Following the award of a new contract we are looking for an ambitious individual to work in our

Facilities Management team.



Monday to Friday

8:00am to 17:00pm

Office based role, Enfield.

The Reactive Maintenance Coordinator will be responsible for managing and allocating reactive maintenance tasks across 17 sites under the contract. This role involves using CAFM systems to ensure that tasks are completed in a timely manner, ensuring minimal disruption to operations.

Key Responsibilities



Stay on top of the helpdesk email inbox, ensuring that any messages for the Planned Maintenance Coordinator or other team members are promptly forwarded to the appropriate person.

Review and assign incoming reactive maintenance tasks for the 17 sites under the contract.

Allocate tasks requiring specific skill sets to the appropriate engineers or subcontractors.

Proactively request time extensions for tasks when necessary to ensure timely and accurate completion.

Ensure floating engineers have tasks scheduled and add these tasks to their calendar (Engineer 2 Calendar).

Coordinate with the engineers to finalise schedules for out of hours tasks, ensuring timely completion and avoiding penalties.

Adjust schedules for engineers in case of last-minute absences, ensuring proper site coverage.

Raise ATW (Access to Work) authorisations for engineers and subcontractors for out of hours work.

Monitor task closures and ensure that reactive maintenance tasks are completed accurately and on time.

Manage daily reports and follow up with engineers regarding any delays or issues.

Handle incoming calls related to reactive tasks and resolve issues as needed.

Work collaboratively with subcontractors, clients, and team members to maintain high operational standards and reduce penalties.

Skills and Qualifications



Experience in reactive maintenance coordination, ideally in a facilities management or maintenance environment.

Familiarity with CAFM systems such as Concept Evolution and Planet.

Strong problem-solving and organisational skills.

Ability to prioritise tasks and ensure minimal disruption to site operations.

Effective communication and coordination skills, both internally and with subcontractors.

Pay: 27,000.00-30,000.00 per year
