About the Role:



We are seeking a professional, reliable, and friendly individual to join our team as a

Receptionist / Administrative Support Officer

at Hafan Gobaith. This is a vital front-facing role providing a warm and efficient welcome to all visitors and offering essential administrative and clerical support to ensure the smooth running of the office.

The successful candidate will be the first point of contact for our organisation--by phone and in person--and will also be responsible for a wide range of administrative tasks. This is an excellent opportunity for someone with strong organisational skills, a positive attitude, and the ability to manage a variety of tasks efficiently and accurately.

Key Responsibilities:



Reception Duties:



Greet and welcome visitors to the building in a professional and courteous manner. Answer incoming telephone calls, manage enquiries, and direct calls as appropriate. Monitor and manage visitor access, ensuring all guests sign in and out.

Office & Administrative Support:



Record all incoming and outgoing mail, accurately logging details on relevant spreadsheets. Arrange and book travel including taxis, trains, and buses as required. Make accommodation bookings for staff and visitors. Assist with the processing and reconciliation of credit card expenditure. Enter and update client information accurately onto the Care First Client Record System. Support with invoice processing and general finance-related admin tasks. Book and manage pool car usage and room reservations. Attend the local post office to manage mailings and deliveries as needed. Assist with office-based tasks such as archiving, scanning, photocopying, and printing. Provide general administrative support to the wider team and management as required.

Essential Skills & Experience:



Previous experience in a reception, customer service, or administrative role. Excellent verbal and written communication skills. Strong IT skills, particularly with Microsoft Office (Word, Excel, Outlook). Ability to prioritise tasks and manage time effectively. High level of attention to detail and accuracy. A friendly, approachable, and professional manner. Ability to work independently and as part of a team.

Desirable:



Experience using the Care First Client Record System or similar databases. Knowledge of basic finance processes such as invoice handling or credit card reconciliation.
