Job Title: Receptionist/Administrative Assistant


Working Hours:



Monday - Thursday: 8:30 AM - 5:00 PM Friday: 8:30 AM - 4:30 PM
(1-hour unpaid lunch break daily)

Job Purpose:


The post holder will be responsible for providing front-of-house reception duties and comprehensive administrative support to ensure the smooth running of daily operations at Hafan Gobaith. This role involves managing incoming and outgoing communications, coordinating travel and accommodation, and supporting general finance and office administration.

Key Responsibilities:



Act as the first point of contact by answering telephone calls and welcoming visitors to the building in a professional and friendly manner. Manage and record incoming and outgoing mail using relevant spreadsheets. Arrange travel bookings, including taxis, trains, and buses as required. Book accommodation for staff or visitors when necessary. Support the processing and reconciliation of credit card expenses. Input and update client information accurately on the Carefirst Client Record System. Assist with invoice processing and maintaining finance records. Manage bookings for pool cars and meeting rooms. Attend the local post office to handle mail-related tasks. Assist with office administration such as archiving, scanning, photocopying, and printing. Perform other general administrative and finance-related tasks as required to support the smooth functioning of the office.

Person Specification:



Previous experience in a reception or administrative role preferred. Excellent verbal and written communication skills. Good organisational skills and attention to detail. Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable using databases. Ability to work independently and as part of a team. Discreet, reliable, and able to handle confidential information appropriately. Friendly, welcoming, and professional demeanour.
