Position Summary





The Hotel Sourcing Agent is responsible for supporting the Hotel Revenue and Contracting Director in executing the company's sourcing and contracting strategy across assigned events. This role contributes directly to the company's growth by expanding hotel partnerships, securing competitive commercial terms, and ensuring a high-quality hotel portfolio that aligns with the business's goals.



The role encompasses full lifecycle management of hotel sourcing--from identifying new opportunities and distributing RFPs, to negotiating rates, finalising contracts, and ensuring compliance with internal and external requirements. Success in this position requires strong analytical skills, attention to detail, a high level of professionalism, and the ability to build positive, productive relationships with hotel partners and internal stakeholders. The ideal candidate is a motivated self-starter with solid industry knowledge and the commercial confidence to negotiate effectively.




Key Responsibilities




Hotel Relationship Management and Partnership Development Build, develop, and maintain strong, long-term relationships with key hotel partners to support business growth and strategic priorities. Serve as a central point of contact for all hotel partners throughout the contracting cycle, including enquiry handling, negotiations, issue resolution, and follow-up. Conduct regular communication with hotels to maintain alignment on product needs, availability updates, pricing changes, and promotional opportunities. Represent company sourcing standards, brand expectations, and commercial requirements during interactions with hotel partners. Monitor partner engagement and address any concerns that may impact the company's ability to meet commercial or operational goals.



Sourcing, RFP Management, and Commercial Negotiations




Coordinate and distribute hotel RFPs in accordance with the sourcing calendar and company's strategic market priorities. Review, compare, and analyse hotel proposals, ensuring accuracy, competitiveness, and alignment with target margins and revenue objectives. Perform detailed rate analysis using Excel or internal tools, evaluating rate parity, seasonal patterns, blackout dates, room types, and contracted conditions. Lead commercial negotiations to secure the best possible pricing, allocation terms, payment conditions, cancellation policies, and value-added benefits. Ensure all negotiated terms align with company financial guidelines, risk-management frameworks, and business objectives. Collaborate with legal and compliance teams when required to resolve contract discrepancies or negotiate non-standard terms.



Revenue and Performance Support




Work closely with the Director of Hotel Revenue and Contracting to identify new sourcing opportunities and optimise existing partnerships. Ensure that all amendments (e.g., rate changes, terms and conditions, promotions) are accurately reflected and properly documented. Maintain and update all contract records, rate sheets, negotiation notes, and supporting documentation in the internal database or contract management system. Monitor hotel performance and competitiveness within assigned markets. Support initiatives to drive better availability and pricing across hotel partners.



Administrative and Procedural Compliance




Ensure all sourcing and contracting activities follow company policies, audit requirements, and internal approval workflows. Maintain a structured, organised, and up-to-date repository of contracts, partner data, RFP documents, and correspondence. Participate in training sessions, software upgrades, and internal projects that improve sourcing, contracting, or revenue capabilities.

What we are looking for




2-4 years of experience in hotel contracting, travel procurement, or hospitality sales. (preferred) Strong negotiation and communication skills. Knowledge of hotel rate structures, RFP processes and distribution systems. High attention to detail, organisation, and time management. * Proficiency in MS Office (especially Excel)
