We are expanding rapidly and are looking for a highly reliable and organised HR & Administrative Executive to support our growing team and internal operations.
Role Overview
The
HR & Administrative Executive
will play a key role in supporting TT Media's internal operations, employee management, and day-to-day office administration. The role includes HR coordination, office and administrative management, internal communication, and operational support for senior leadership.
This position requires strong organisational skills, attention to detail, and the ability to work in a fast-paced, international environment.
Key Responsibilities1. HR Support & People Operations
Assist with recruitment coordination, including job postings, CV screening, interview scheduling, and communication with candidates.
Support onboarding and offboarding processes (documentation, equipment, training schedules, system setup).
Maintain and update employee records, HR databases, and internal policies.
Assist with HR paperwork, contracts, and performance review documentation.
Coordinate attendance, leave tracking, and basic payroll information to ensure accuracy.
Help organise team activities, internal events, and employee engagement initiatives.
2. Administrative & Office Management
Oversee daily administrative operations of the London office (supplies, equipment, logistics, facilities support).
Manage company documentation, filing systems, and internal information flow.
Handle office vendor communication, deliveries, and service bookings.
Support preparation of reports, internal documents, meeting materials and presentations.
Assist with expense claims, invoices, and basic finance coordination with the accounting team.
3. Operations & Management Support
Provide scheduling and meeting coordination for senior management where required.
Ensure timely communication across departments (Creator team, Ads team, Shop team, Hangzhou team, US team).
Follow up on action items from internal meetings and maintain task progress updates.
Assist in preparing data summaries, simple operational reports, and team productivity updates.
Coordinate cross-team workflows during key campaigns, events, and busy operational periods.
Requirements
Bachelor's degree in HR, Business, Administration, Media or related fields preferred.
1-3 years of experience in HR, administration, operations, or office support roles.
Strong organisational and time-management skills; able to prioritise multiple tasks effectively.
Excellent written and verbal communication skills in both English and Mandarin.
Proficient using Microsoft Office and Google Workspace.
High level of responsibility, confidentiality, and professionalism.
Experience in a fast-paced media, e-commerce, or agency environment is a plus.
