Overview


We are seeking an EXPERIENCED and dedicated Human Resources Administrator to join our dynamic team. The successful candidate will play a vital role in supporting the Registered Manager and organisation's HR functions, ensuring smooth operations through effective data management, communication, and administrative support. Responsibilities



Proactively follow a proper and up to date recruitment process at all times, including: advertising, selection and interviewing of candidates, communication, obtaining and keeping relevant documentation, induction and support of new starters.

Ensure correct administration of various employee-related paperwork such as employment contracts, job descriptions, letters, new starter packs or other formal documentation is followed.

Administer and submit financial elements of human resources such as payroll, benefits and pension schemes to outside contractors.

Have an oversight of staff rotas. Update headcount and staffing levels requirements as per business needs and independently work on reducing shortfalls and reduce agency usage where possible.

Monitor staff attendance and report absences levels and other noted concerns to the Registered Manager.

Ensure that any staff reasonable requests are acted upon and also concerns or complaints investigated and dealt with appropriately and in a timely manner. Report issues outside job scope to the Registered Manager.

Competently and sensitively handle employment related issues such as disciplinary processes, grievances and employee welfare issues by following Acas guidance and Companies policies.

Contact companies approved legal advisors/solicitors to establish the best way to proceed before any decisions are made when requested by the Registered Manager.

Refer employees to the Registered Manager regarding various difficulties/conditions eg mental health, menopause and refer to occupational therapist where appropriate.

Assist with reviewing and updating Business Contingency plan annually or when required

Update NHS Data Protection Toolkit annually or when required

Assist the Registered Manager to review and update HR, H&S, Fire safety and Data protection policies and procedures up to date with current legislation. Assist the senior management in formulating and achieving completion of any related action plans within deadlines.

Assist the Registered Manager to assign and monitor training and development of employees and report back shortfalls in goals in timely manner.

Keep up to date and provide HR reports to senior management where required at reasonable notice.

Assist the senior management to implement and monitor quality assurance strategies and documents actively promoting a staff culture of continuous improvement.

Assist the senior management with trusted secretarial duties during regulators inspections, audits or generally visits, including updating spreadsheets and preparation of documents when required.

Contribute to overall planning and implementing service development.

When required, conduct research and provide suggestions/proposals for any issues, trainings or generally continuous improvement.

Assist the senior managers to monitor that health and safety requirements are met within services/observe that employees and premises comply with Health and Safety Legislation.

Be flexible to assist with anything else required in the business.

Administer and maintain sponsored employees compliance documentation including Right to Work and issuing approved sponsorship certificates also communicating with Home Office when required.

Other general requirements:



At least 2 years experience in HR Administrators role Desire to obtain CIPD or similar qualifications and continue developing relevant to the role skills Ability to stay highly motivated consistently over time Must be reliable, loyal, transparent and with excellent attendance record Continue learning independently and keeping up to date of CQC, H&S regulations and Employment Law/Human Resources. Demonstrate attitude at all times and be proactive in motivating all employees in difficulties and changes Always act in the best interest of the Company however adequately supporting employees in any difficulties/changes Collaborate with the senior managers to ensure the smooth running of the company from a people perspective. Always adhere to sensitivity, confidentiality and discretion when dealing with confidential company's and residents/employees information. Limited availability to take annual leave on payroll week
