Job Description

We are seeking a dynamic and organised HR Administrator to join our thriving residential block and estate management business, located near Aylesbury. This is a new role, and the successful candidate will join our friendly team of talented property professionals at an exciting time for our growing company.

You will work collaboratively with senior managers and with employees to deliver key administrative and operational activities essential to the smooth running and success of the team, with the ultimate goal of supporting the delivery of outstanding service to our Resident Management Company clients.

The successful candidate will assist with:

Recruitment administration

Onboarding new starters

Managing the payroll

Monitoring performance and KPIs

Monitoring absence

Organising and monitoring training

Employee events and engagement

Leavers and references

You will be IT literate, highly numerate and with a keen interest in teamwork and collaboration. You will have excellent attention to detail, strong interpersonal skills and the ability to organise your time effectively. As well as being a team player, you will be able to work on your own initiative, solve problems and think creatively. You will be discreet, trustworthy and confident handling sensitive information.

Experience working in human resources or office management is required. This is a fast-paced operational environment, and a willingness to be flexible and a commitment to continuing professional development are essential. A full UK driving licence and your own vehicle are also desirable, given our location.

Hours of work



A minimum of 30 hours per week is required, up to full-time (37.5 hours per week), with the exact working hours negotiable with the successful candidate.

Our standard office hours are 9 am - 5.30 pm, five days per week, with 1 hour for lunch. We are not able to offer hybrid working for this role.

Length of appointment



This is a permanent appointment.

Salary and holidays



The salary will be agreed with the successful candidate. The salary will be paid monthly in arrears by BACS.

The office is closed on Bank Holidays and these days will be paid as part of a paid annual leave entitlement of 28 days per annum, which will be pro-rata if not full-time.

Neil Douglas operates a pension scheme with Aviva and all staff are auto enrolled into the scheme.

Detailed job description - Human Resources Administrator



Main responsibilities



Assisting senior managers with recruitment of new employees, including posting job adverts, arranging interviews, sending job offers, requesting references, and communicating with candidates.

Assisting with the onboarding of new starters, including preparing joining instructions and contracts, coordinating induction plans, organising new starter training, and first day/week briefings, setting up logins and equipment.

Collating information for the monthly payroll and liaising with the bookkeeper to process this, arranging payroll payments, expenses claims, and overseeing the workplace pension administration.

Dealing with the administrative tasks associated with leavers and external reference requests.

Administrative support for managers with the monitoring of performance, including note-taking at quarterly reviews and other meetings, collating information about key performance indicators, etc.

Assisting with managing absence, including recording leave requests, sickness absence, and arranging occupational health assessments, return to work interviews etc.

Arranging and recording training activities and supporting managers with individual training plans and company-wide training.

Assisting with employee engagement activities, including the organisation of employee events in-house and externally.

Providing support with the management of office facilities, parking and the pool cars.
