Salary:

24,000 - 27,500 (dependent on experience)

Job Purpose



The HR Administrator will act as the first point of contact for employees and external partners regarding HR-related queries. This role supports the day-to-day operations of the HR function, ensuring smooth and efficient service delivery. The postholder will handle a wide range of administrative responsibilities across the employee lifecycle, including recruitment, onboarding, payroll support, HR systems management, and basic health and safety administration. They will report directly to the Chief of Staff and support both the Finance Manager and Chief of Staff with accurate HR data and reporting.

Key Responsibilities



General HR Administration



Provide comprehensive administrative support to the Chief of Staff. Act as the first point of contact for HR queries from staff and external stakeholders. Maintain accurate and up-to-date personnel records in line with GDPR. Draft and issue standard HR documents and letters. Maintain and update the HR Procedures Manual.

Recruitment & Selection



Coordinate recruitment campaigns, including drafting job adverts, scheduling interviews, and processing applications. Conduct pre-employment checks (DBS, right to work, references, qualifications).

Onboarding & Induction



Prepare contracts, offer letters, and starter packs. Ensure all pre-employment checks are completed. Support line managers with induction planning and probation tracking.

Payroll Support & Reporting



Generate monthly absence and sickness reports from the BrightHR system to support payroll processing. Liaise with the Finance Manager and Chief of Staff to ensure all relevant absence data is submitted in a timely manner for payroll. Flag any anomalies or patterns in absence data to the Chief of Staff for further review.

HR Systems & Reporting



Act as the primary administrator for the BrightHR system. Ensure data accuracy and compliance with data protection regulations.

Policies & Procedures



Ensure HR policies are current, accessible, and communicated effectively. Direct employees and managers to appropriate policies and procedures.

Employee Relations & Guidance



Provide first-line HR advice to employees and managers on general queries and policy interpretation. Support formal processes such as disciplinary and grievance meetings as required by the Chief of Staff. Escalate complex issues to the Chief of Staff.

Leaver Administration



Process resignations and calculate outstanding leave.

Health & Safety Support



Coordinate Workstation Risk Assessments for new starters and desk changes. Issue self-assessment guidance for home workers. Refer staff for additional risk assessments where necessary (e.g., maternity). Support the Chief of Staff in maintaining basic health and safety compliance records.

Facilities



Support the Chief of Staff with managing facilities within the building. (showing round contractors / stock levels / liaising with the building manager)

Person Specification



Essential



Proven experience in an HR administrative role would be beneficial. Strong IT skills (Word, Excel, Outlook). Excellent organisational and time management skills. High attention to detail and accuracy. Ability to handle confidential information with discretion.

Desirable



Experience supporting health and safety processes.
