The Part You'll Play as HR and Operations Advisor...
We are looking for a proactive and efficient individual to provide comprehensive and efficient operational, administrative and people support within the team, acting as a key point of contact for employees, clients, and stakeholders. This role helps enable the team's smooth functionality, drives a strong workplace culture and assists with delivering a first-class employee experience across the business.
What you'll be doing:
General HR Administration:
Prepare and process all HR documentation.
Complete and submit internal forms for team members' employment lifecycle events (starter, promotions, exits etc.).
Take ownership of and manage the payroll spreadsheet, liaising with Payroll to guarantee accurate payments.
Maintain up-to-date and accurate employment files in compliance with legislation (GDPR).
Manage and track documents to enable a clear and compliant audit trail.
Keep the internal SharePoint up to date with relevant policy and procedure information.
Support the delivery of onboarding and induction processes.
Provide reports to stakeholders from the HR system (Workday) and produce ad-hoc reports upon request.
Support the HR team with parental leave conversations and process administration (maternity, paternity, shared, adoption).
Lead exit interview conversations and collate data to aid retention initiatives.
Support ad-hoc people-related projects.
Recruitment Support
Collate s from the Hiring Managers
Keep "blackbook" up to date with freelancers' availability
Book freelancers in Worksome, draft Scopes of Services, and manage contracts
Utilise Avature (our internal ATS) for both permanent and freelance roles
Schedule interviews with Hiring Managers
Conduct initial candidate screenings
Manage Predictive Index assessments and maintain the candidate database
General Operations & Office Support
First point of contact for clients, visitors and employees -- delivering a warm and professional welcome.
Manage meeting room booking and preparation, including catering if required.
Book team travel and hotel accommodations, securing cost-effective options.
Responsible for new starters' induction process, ensuring a smooth onboarding experience.
Take an active role in our Social Committee to help foster a strong workplace culture.
provide PA support to the CEO, including calendar and expense management.
Support our Operations Director by managing the freelancer booking process.
What we're looking for in the HR and Operations Advisor:
Must have:
Excellent communication skills (written and verbal) -- ability to foster strong relationships at all levels.
Ability to work independently with discretion and a high degree of confidentiality.
Ability to manage multiple priorities under pressure while retaining strong attention to detail.
Collaborative team player with a helpful, enthusiastic and solution-oriented approach.
Strong organisational and time management skills for this busy role requiring careful follow-through.
Ability to learn and adapt quickly in a changing workplace.
Proficiency in IT (Word, Excel, PowerPoint and related business software).
A professional, trustworthy, calm, and dependable character -- able to handle sensitive and confidential information with discretion.
Nice to have:
Experience with Workday (HCM) for maintaining employee data and generating reports, is a strong advantage
Previous experience with Worksome or other freelance administration platforms would be helpful
