We are seeking an HR and Payroll Administrator on a Fixed-Term basis until 31st December 2026 to join our vibrant team at John Greed Jewellery and report to the HR Manager. In this role, you will play a vital part in supporting our HR and Payroll functions and contributing to our mission of providing an outstanding retail experience.
This position is based in Lincoln and is integral to maintaining our positive workplace culture. The role will be varied with a focus on peak trading recruitment between August and January, including attending site to undertake recruitment and onboarding, and a monthly focus on Payroll Administration. The role will also consist of HR Administration.
Responsibilities
Assist with the recruitment process by posting job ads and coordinating interviews.
Maintain employee records including Payroll records and manage HRIS data entry accurately.
Undertake on site team onboarding and training initiatives.
Handle day-to-day HR inquiries from staff regarding policies and procedures.
Process Payroll each month.
To provide all necessary advice and reports to the accounting department as required.
To assist with communicating the Company Handbook policies and all related HR and Payroll policies.
To assist with ensuring that we have a consistent tone of voice within our HR documentation and policies.
To organise staff training.
To organise team building and other staff events.
To organise and coordinate staff gifts, including length of service rewards and milestones.
To organise and undertake the offboarding of staff.
To utilise the HR/Payroll Calendar for deadlines, reminders and monitoring purposes.
To keep staff information up to date.
To minute meetings when requested.
To assist with creating and sending out HR-related emails, letters, questionnaires and memos.
To assist with and ensure the review of the HR filing systems to keep them organised and up to date.
To assist with the implementation of our various workplace schemes such as (but not limited to), parental leave, toil, flexible working, Holiday Plus scheme etc and ensure they accord in practice with the provisions of the Employment Handbook and other policies, raising issues when required to the HR Manager.
To assist with the Return to Work and absence processes, including any follow-up actions required.
To provide staff references in line with our Company Policy and GDPR
To collect and research industry data, such as salary benchmarking exercises, when requested.
To create, keep up to date and maintain HR-related spreadsheets.
To assist with the Appraisal process.
To assist with drafting documents including letters, Employment Contracts and Casual Agreements.
To assist with the completion of any other day-to-day or ad hoc HR or Payroll-related tasks.
To protect confidentiality when dealing with commercial or private sensitive information and personal HR information and records.
Requirements
Proven experience in a human resources role or similar administrative position would be preferable.
Payroll training or qualifications would be preferable.
Excellent communication skills at all levels.
Experience of working in a fast-paced commercial environment.
Able to respond to and effectively prioritise workload to meet deadlines.
Trustworthy with a sound understanding of confidentiality.
Meticulous attention to detail and error-checking.
Proficient in Google Docs and Google Sheets.
Able to observe and protect confidentiality when dealing with commercially sensitive information, personal HR information, and records
To have adequate space for an office set up at home in a quiet, private and secure location. Good internet connection and a mobile phone is also essential, for the purposes of HR contact only, and is the responsibility of the employee.
Can work efficiently and productively within a remote working environment.
To be able to undertake work at work premises or attend meetings when necessary, including face-to-face, video and voice meetings in accordance with the requirements of the role.
