We are seeking a dedicated and detail-oriented Human Resources Assistant to join our team. The ideal candidate will support various HR functions, ensuring the smooth operation of our human resources department. This role involves assisting with recruitment processes, maintaining employee records, and contributing to the overall efficiency of HR operations. The successful candidate will possess strong organisational skills and a passion for human resources.
Responsibilities
:
Coordinate the full employee lifecycle
Manage administration of new starters, changes and leavers
Maintain accurate and up to date employee records
Monitor and administer probation periods, performance meetings, absences, fit notes, return to work and contract end dates
Administer the employee benefits portal
Support recruitment and onboarding
Post job adverts, schedule interviews, coordinate calendars and attend interviews where required
Liaise with recruitment agencies when needed
Process offer letters, contracts and reference requests
Prepare induction plans and coordinate first day logistics
Deliver the HR induction and first day set up
Ensure a consistent onboarding experience
Assist with employee relations matters
Provide note taking support for formal meetings such as investigations, disciplinaries, flexible working requests and other such meetings
Support managers with documentation and letters
Ensure actions from ER processes are tracked and completed in a timely manor
Ensure that the HR system is updated and maintained with accurate records of ER
Support with implementing HR policies
Act as the first point of contact for the HR department
Sign post managers to appropriate guidance on policy implementation
Promote consistent and fair application of HR policies
Prepare and complete monthly payroll data
Ensure all new starters are added to the payroll submission file and leavers removed
Collate changes to pay, hours, leavers, benefits and absences
Submit the payroll file for review and approval
Upload payslips to the HR system
Be the first point of contact for any payroll related queries
Assist with HR projects
Research and gather information on project related activities
Coordinate with key stakeholders
Work with a continuous improvement ethos to improve processes and efficiencies
Qualifications
Previous experience in human resources or a related administrative role is preferred.
Familiarity with HRIS systems (e.g., PeopleSoft, Salesforce) and ATS platforms is highly desirable.
Strong data entry skills with attention to detail to ensure accuracy in record keeping.
Proficient in social media management for professional purposes.
Excellent communication skills, both written and verbal, with the ability to interact effectively at all levels of the organisation.
Strong organisational skills with the ability to manage multiple tasks simultaneously while meeting deadlines.
A proactive approach to problem-solving and a willingness to learn new systems and processes.
