Your Responsibilities:
  • Creating and issuing contracts of employment along with all other new starter documentation and ensuring all documentation is returned and relevant checks (e.g. right to work) are complete within required timescales.
  • Creating employee records on SelectHR and storing all documentation in appropriate files, ensuring data accuracy.
  • Provide note taking resource in any meetings as requested by senior HR team member; this will include disciplinary investigation & hearing, grievance hearings, minor conduct meetings that require documentation, redundancy process and any occasion relating to change to terms and conditions of service.
  • Leaver administration.
  • Work closely with the payroll team to ensure all new starters and contractual changes are implemented correctly.
  • Creating and issuing both planned and ad-hoc letters or emails as required.
  • Auditing new joiner documentation to ensure all is received and where necessary, ensure compliance with relative regulations, for example Right to Work documentation.
  • Supporting with Criminal Record Checks and recording and storing received certificates accordingly.
  • Monitoring Return to Work documents and Medical Certificates; administering the Absence Management process.
  • Support HR initiatives such as apprentice schemes, reward and benefit assessment and administration, announcements, policy format and update.
  • Act as the first point of contact for day to day queries, providing resolution where possible and directing to the relevant HR team member as required.
  • Contribute to the effective implementation and maintenance of the HRIS (SelectHR), ensuring data is updated accordingly, and ensuring managers and employees are supported in the full utilisation of the system.
  • Identify opportunities for improvements to administrative processes and practices to improve the user experience. Any other duties assigned by Line Manager for which the postholder is capable and experienced to satisfy.

Qualifications and Skills:
  • Self-motivated with the ability to prioritise own workload, but seek guidance and clarity as and when required.
  • Adaptable with the ability to change priority with little or no notice and subject to demand.
  • Previous experience gained in a busy HR department (not essential).
  • Qualification (or working towards) in HR (CIPD or similar), or willing to work towards this.
  • Excellent interpersonal and communication skills with the ability to interact with all colleagues.
  • Strong organisational and administration skills; the postholder must be able to use Microsoft applications.
  • Able to follow internal processes/procedure with accuracy and precision.
  • General awareness or understanding of employment law.
  • Excellent telephone manner and an ability to communicate clearly and concisely.
  • Attention to detail with the ability to manage a sizeable workload.
  • Full UK driving licence (clean preferred).
  • Right to work in the UK when starting this role.
