The HR and Office Administrator will provide comprehensive administrative support across HR, recruitment, training, and office management functions. This role ensures compliance with safer recruitment practices, legislative requirements, and internal policies while supporting the smooth operation of the Amersham office and associated programmes.
Reporting Lines and Key Relationships
Reports to: - HR Lead
Key Responsibilities and Accountabilities
HR Administration
Ensure the training framework and mandatory training programme are implemented and all staff hold valid certificates.
Administer all mandatory training, issue reminders, and maintain accurate training records.
Maintain HR records ensuring accuracy, completeness, and compliance with Data Protection, GDPR, Data Retention, and other legislative requirements.
Support HR Lead in HR meetings, including investigations and employee relations matters.
Oversee People Services inbox, responding to queries and signposting to the correct team member.
Manage E-learning platform, benefits, and life assurance policies, ensuring new staff members are added promptly.
Track and report casual hours sign-off to the finance team monthly.
Recruitment & Onboarding
Administer recruitment campaigns, including DBS checks, reference checking, and arranging interviews.
Ensure solid administration around recruitment, employment contracts, induction, absence, appraisal, training, and resignation in line with safer recruitment practices and KCSiE.
Participate in recruitment interviews as required.
Office & Programme Support
Jointly manage the Amersham office with the Operations team, including oversight of the Central Talkback inbox and general enquiries on IMPACT. General office duties, including answering the telephone, receiving packages, liaising with the Community Centre Manager and welcoming visitors
Provide administrative support for programmes to meet contract needs and quality assurance requirements.
Assist with programme-related admin on statutory processes such as Annual Reviews, quality checking, and data gathering.
Volunteer Management
Support the Volunteer Coordinator with volunteer reviews and queries.
Provide volunteer management support to Volunteer Coordinator and Programmes.
Personal Attributes
Experience, skills and qualifications
.
Experience within the education or charity sector
Strong administrative and organisational skills with attention to detail.
Knowledge of HR processes, safer recruitment practices, and KCSiE guidelines.
Familiarity with GDPR, Data Protection, and compliance requirements.
Excellent communication and interpersonal skills.
Ability to manage multiple priorities and work collaboratively across teams.
Proficient in MS Office and HR systems; experience with E-learning platforms is desirable.
Minimum 5 GCSEs (A-C passes) or equivalent, including English and Maths
Ability to work in professional and confidential manner.
Ability to work on own initiative, prioritise workload accordingly and meet deadlines.
