Role Summary
We have an exciting opportunity for an experienced HR Officer, to provide high-quality, professional HR and performance administration support across the club, playing a pivotal part in the delivery of the club's mission. The HR Officer will act as a trusted partner to heads of departments to manage the day-to-day delivery of HR services for both playing and non-playing staff.
Key Responsibilities
Operational HR Administration
Draft and issue employment contracts, player contracts, casual worker contracts, student placement and volunteer agreements.
Manage onboarding and induction processes for players, employees, placements and volunteers.
Maintain accurate HR records, including safeguarding checks, right-to-work documentation, and references.
Administer payroll changes to ensure timely and accurate payments.
Support reporting for board and executive reviews when required.
Complete admin tasks as required throughout the season.
Recruitment and Onboarding
Partner with relevant Heads of Department to manage recruitment processes, including advertising, shortlisting, arranging interviews and onboarding in a timely and well organised way.
Ensure transitioning employees receive a planned, effective and timely exit process.
Represent Bristol Bears at jobs fairs and events within the community.
Compliance and Record-Keeping
Monitor compliance with relevant employment law and GDPR.
Monitor compliance with mandatory training.
Support safeguarding officer in maintaining up-to-date records and training compliance.
Support in payroll and pension administration.
Maintain accurate employee records using internal systems and contractual change documentation, partnering with payroll.
Monitor compliance of UKG - the HR information system, utilising to generate reports.
Employee Welfare
Act as first point of contact for day-to-day HR queries from players and staff.
Assist in resolving employee relations matters such as grievances, performance meetings and investigations, escalating to SHRBP where appropriate.
Ensuring relevant safeguarding policies and practises are followed in partnership with the Bears Designated Safeguarding Officer.
HR Projects and Continuous Improvement
Contribute to the formation and development of internal HR policies and procedures to comply with legislation updates and good employment practises. Process improvements and implement.
Assist the SHRBP in delivering strategic initiatives.
Take ownership of certain HR projects to improve employee experience.
Take responsibility for own continuous professional development to stay up to date with trends and legislation to support delivery.
To contribute positively to the Bears vision and culture.
Performance Administration
Coordination of the annual minimum standards audit - collaborating with key stakeholders to ensure deadlines are met
Person Specification
Essential
Currently hold or working towards CIPD Level 5 qualification or above or relevant degree in Human Resources, Business Administration, or related field.
Demonstrated experience in HR operations (3-4 years), generalist or specialist gained in a complex, fast paced organisation with multiple stakeholders.
Strong communication and interpersonal skills.
Ability to maintain confidentiality and handle sensitive information with discretion.
Good knowledge of UK employment law, contract terms and HR best practice.
IT literate with good working knowledge of Microsoft Office applications.
Excellent organisational skills and attention to detail, with the ability to manage multiple priorities.
High level of confidentiality and professionalism.
Ability to work flexibly.
Full driving license and access to a vehicle due to the location of the High Performance Centre.
Desirable
Experience in professional sport or high-performance environments
Previous use of UKG HR information system.
