Job Context and Purpose:



Reporting to the HR Manager, you will provide efficient and effective administrative support to the HR Manager and HR Business Partner, ensuring the smooth delivery of HR services across the organisation. This role supports both transactional HR processes and contributes to initiatives aligned with the HR strategy.

Main Tasks:



Providing general administrative support across the HR Team

Maintaining all HR e-mail inboxes and responding to enquiries through various communication channels, such as e-mail and Teams.

Processing all employee documentation/records, whilst also maintaining Human Resources Management System to ensure that files are up to date and legally complaint

Assist with recruitment administration, including job adverts, interview scheduling, and onboarding.

Administer offboarding and support with Induction for all employees.

Liaise with payroll team to ensure all employee lifecycle changes are communicated in a timely manner

Support with ad-hoc project-based work

Supporting the wider HR team in the administration of training compliance, record keeping, and administering the online training portal.

Preparing HR documentation, including (but not limited to); contracts, variation letters, FWR outcome letters, secondment confirmation and meeting invitations.

To participate and support wellbeing initiatives for the charity.

To always maintain confidentiality, in accordance with GDPR.

Assist HR Manager/HRBP with collating data for metrics.

Cover Volunteer lifecycle processes when required.

Support the preparation of data for reporting purposes

Other Duties & Responsibilities:



To engage fully with the values and community of Mind in Somerset. There is an expectation to attend and actively participate in employee meetings and training events when appropriate and/or required.

To attend monthly one-to-one supervision with line manager.

Abide by health and safety guidelines and share responsibility for own safety and that of colleagues.

Carry out any other appropriate tasks requested by the HR manager, to ensure the effective delivery and development of the service.

To work in an inclusive and culturally sensitive way

To follow Health & Safety and Security procedures.

To maintain own CPD.

Keeping informed with legal changes relevant to HR and payroll

To take on any other responsibilities or tasks that are within your skillset whenever reasonable asked.

Identify and implement plans for own training and development needs;

Person Specification:



Essential



Previous experience in an administrative role.

Strong organisational and time-management skills.

Excellent attention to detail and accuracy.

Good working knowledge of Microsoft Office (Word, Excel, Outlook).

Ability to handle confidential information with discretion.

Strong communication skills, both written and verbal.

Desirable



Previous experience in an HR administrative role

Exposure to Payroll systems/ payroll processes.

Interest in studying for level 3 HR qualification
