Main Goal



Responsible for supporting the administering of HR Operational processes, systems and reporting in the delivery of HR services. Assist in supporting the HR team in the delivery of the HR policies and procedures as required.

The individual must work well in a collaborative setting as teamwork and working closely with the other HR colleagues in the successful delivery of this role. This role will require covering the other HR colleagues (and vice-versa) during all incidents of absence, including holiday and sickness etc.

Responsibilities/Tasks



Adhoc/Day to day tasks



Effectively manage and respond to day-to-day HR queries via our shared Hrinfo mailbox, employee portal, SharePoint and teams, handling all queries in a professional and respectful manner. Provide the support administration for all employee life cycle matters, benefits and compensation and letter administration ensuring all activations and deactivations are handled and managed with the broker in a timely manner and reflected on OnBase. Perform and manage DBS checks and liaise with the relevant employees, line managers and customers to ensure we have the correct governance and safeguarding in place. Fleet administration - fines, charges and hire car support. Supporting the design and development of HR Operational changes to enable services to be delivered in a more digital manner. Any other tasks as directed commensurate with level of role

Payroll



Administering the payroll process each month, liaising with all stakeholders to assist in preparing payroll input. Managing payroll queries after its administration

Benefits



Administering and updating pension files to the pension provider and providing first line support on pension queries.

Onboarding and Leavers



Administering the joining and leaving process to ensure employees are processed in good time, ensuring payroll is up to date with accurate data and making sure we are compliant with all relevant governance. Onboarding Administration (using MS 365) - Overall management of Onboarding and associated administration, saving it onto HR System (OnBase), Welcome emails, along with any new starter documents that are applicable. KnowBe4 - Database administration and support for our eLearning platform

Audit/Reporting



Supporting Audit processes, ensuring all employee data is up to date and cleansed, and retrieving documentation as and when requested, this includes employee's personal information, benefit information, employment offer information, fleet information. Effectively manage our HR System ensuring that all matters relating to the processing of information are carried out in a prompt, efficient and accurate manner using a variety of IT approaches and in accordance with legislation, policy and procedure. Update and complete the headcount report and organisational charts each month, reporting for Europe and Japan Responsible for ensuring that the HR system, and all related spreadsheets, applications and system records are always kept up to date, and all information is accurately recorded and cross checked.

Knowledge, Experience & Skills



Experience in handling demanding administrative tasks, including handling frustrations and issues as they arise in a professional manner. Knowledge of MS 365 (Word, Excel, MS Outlook, SharePoint, Power Automate, Microsoft Forms, Planner) Experience of being organised and diligent in their work and able to manage the daily responsibilities together with additional projects as they arise. Must have excellent attention to detail and be able to communicate clearly - Ideally Maths and English at grade A-C (or equivalent)
