Area of responsibility
Facilitate the smooth running of the People and Culture team by providing a proactive, initiative-driven administrative service in a busy, fast-paced environment. Provide efficient support in recruitment coordination, onboarding, HR database management, pay and benefit administration, policy compliance, and employee support. Be the first point of contact for both line managers and colleagues and triage to ensure that the individual's needs are addressed as quickly and efficiently as possible.
Specific Tasks
Producing guidelines/workflows on admin processes, holding individuals to account.
Assisting the People and culture team with the process of recruitment, including posting roles, tracking campaigns, coordinating interviews, issuing employment contracts, new starter paperwork, and right to live and work in the UK checks, ensuring and maintaining compliance.
Coordinate new hire onboarding, orientation, and induction processes through close collaboration with the UK Training Team.
Maintain accurate employee records across all systems, ensure legal compliance, and ensure HRR systems are up to date.
HR Folder management, maintaining accurate, up-to-date and consistent records, responsible for a clear folder structure, removing duplicates, and ensuring leaver folders are archived; meeting GDPR requirements.
PO orders, supporting the set-up of third-party suppliers, etc.
Time and attendance system administration, updating databases as required, etc
Reporting, e.g. absence, holiday reporting, new starter survey data, exit interview data, etc.
Supporting payroll administration.
Maintaining right to work compliance through accurate recording of visa expiry dates and providing adequate notice to colleagues and managers of upcoming expiry dates
Liaising with agency partners on agency colleague queries and providing timely updates when transferring colleagues to direct contracts.
Responsible for probationary review process and confirmations, administering new starter surveys and returns.
Assist the HR Services Lead with benefits enquiries, benefits administration, enrolment, and accuracy of data.
Monitoring HR Admin/Payroll inboxes and responding to related queries promptly, maintaining agreed SLA's and providing timely updates in the event of any delay.
Providing support to managers in the understanding of policy and procedure, and providing updates when policies are changed.
Triaging employee and people manager queries, providing support when appropriate, and escalating to the proper people and culture representative when required.
Responsible for employee exit process, including confirming resignations, removal from systems, sharing leaver information with payroll, including accrued holiday entitlement and administering Exit interview surveys and informing relevant stakeholders of leavers.
Additional Responsibilities
Actively participate in projects as required.
Note-taking during HR meetings and completing invitation and follow-up letters for HR meetings, in accordance with the process.
Filing correctly all paperwork provided by colleagues and employees in employee files, with due notification provided where appropriate.
Maintaining trackers across the people and culture function, including case work, disciplinary outcomes, vacancy and hiring.
Completing administration for job changes through contracting, ensuring that correct authorisations are obtained, and sharing salary change information with payroll.
Submitting relevant requests, including colleague requests for flexible working arrangements and job changes, to the people manager and following up to ensure compliance with timescales.
Producing letters, including employment confirmation and reference letters, in line with company policy and templates.
Liaising with site administrators to ensure consistency across all UK sites.
Ensuring and maintaining GDPR compliance and confidentiality across the team and reporting GDPR incidents through the correct channels.
Requirements:
Previous experience in a fast-paced Human Resources role or related administrative position with some exposure to relevant compliance is required.
Excellent attention to detail and the ability to maintain accuracy within a busy role.
Ability to handle sensitive information with confidentiality.
Able to use own initiative and work independently.
Excellent written and verbal communication skills.
Familiarity with HR software and databases.
Excellent in MS Office (Word, Excel, PowerPoint).
Ability to prioritise workload through an understanding of essential, compliance and time-bound requests independently.
Strong understanding of the UK General Data Protection Regulation and Data Protection Act 2018.
