About the role:
This role is part of the Human Resources team made up of two main teams: HR and Recruitment. This is a key role in supporting the HR Manager in managing every aspect of the 'employment life cycle' at Halliwell.
The post holder will be responsible for supporting the HR Manager with various projects and provide high quality professional HR advice to managers and staff.
The post holder will also support the HR Manager in managing Halliwell's internal procedures such as disciplinary's, grievance, absence management, probations, flexible working requests and performance management in an effective and timely manner.
HR Officer Main Duties and Responsibilities:
To work alongside the HR Manager supporting with key HR projects leading to the successful delivery of the Human Resources strategy.
To ensure an efficient, timely and innovative HR service offering is always delivered.
Undertake general HR tasks and specialised tasks as required and appropriate to the role.
To work collaboratively and gain expert credibility at all levels across Halliwell creating an environment thriving on innovation and change to maximise organisational performance.
Create a suite of document templates e.g. employment contracts, variation to contract letters, invitation to meeting letters, resignation letters, etc. Ensure these are accessible to the team and ensure they are kept up to date and in line with contractual and statutory requirements.
Produce employment contracts and variation to contracts in line with authorised management requests.
Administer the payroll spreadsheet (processing, leavers, payment anomalies, promotions) each month in a timely manner and uploading to the HR system, ensuring that the workforce information is kept up to date, and any problems identified are addressed effectively.
Provide low level guidance and advise to management and employees, through all aspects of the employee life cycle to include absence management, investigations, grievance, capability, probations in accordance with the consistent application of Halliwell's policies, procedures and adheres to employment law and best practice.
Draft memos and distribute across the organisation.
Liaise with the recruitment team with monitoring of HR processes with the department's recruitment team in relation to recruitment and selection, employment contracts and variations, starters and leavers.
Support with the management of implementation and monitoring of training, probationary period review, performance, and development review, maternity/paternity/shared parental leave, flexible working requests.
Attend meetings, produce meeting notes and distribute to employees and management.
Provide guidance and support managers with capability procedures to ensure a productive and competence workforce across the organisation.
Provide management information reports relating to HR for example absence data, staff lists, payroll costs, weekly staffing reports.
Work closely with the Recruitment Coordinator to produce HR and ER casework Data for bi-weekly meetings with the Senior Leadership Team and Board of Directors.
Maintain a filing system to ensure documents and information are retained and easy to locate and comply with confidentiality requirements.
Provide guidance and support the leavers process by ensuring exit paperwork is completed such on exit interviews, resignation acceptance letters.
Produce and distribute letters in accordance with salary, role changes.
Support the HR Manager with reviewing current policies and procedures to ensure all policies are aligned to employment law legislations and changes.
Manage and monitor the HR email inbox and respond to emails within a timely manner.
Manage and monitor the archiving systems in line with confidentiality.
Produce and Distribute employment references for former/current employees.
Monitor the Halliwell benefits packages to ensure employees are registered/deregistered in a timely manner.
To assist with any other ad hoc duties commensurate to the job role and pay scale, as directed by management
The successful candidate will have the following Qualifications:
Good standard of GCSE (Level 4-9 English and Maths)
Ideally holds relevant qualification in Human Resources
Ideally holds CIPD Level 3 qualification
The successful candidate will have the following Experience:
Experience of working in an HR commercial based environment
Stakeholder management in relation to Human resource task and duties
Understands issues, competitive markets and challenges in the wider business environment in the context. Ability to deliver results which add value to the department and to the company
Extensive experience in note taking and producing letters.
The successful candidate will have the following skills:
Excellent communication skills (verbally and written)
Excellent interpersonal skills
Customer Centric approach to customers / stakeholders
Effective decision-making skills
Ability to use IT packages relevant to the role
Excellent organisation and time management skills
