Rule Purpose:



The HR Coordinator plays a pivotal role in shaping a positive and efficient employee experience throughout the full employment cycle. As part of the HR team, this role is responsible to maintaining smooth HR processes and delivering high quality administrative support.

This role is ideal for a proactive, resilient, and highly motivated individual who thrives in a collaborative and evolving environment. You will be a key point of contact for HR queries, providing professional support and advice to managers and employees, while also playing a role in improving HR processes.

In this role, it is also expected to support a wide range of HR functions, from recruitment and onboarding to training and payroll administration. To be successful in this role, you will need to be adept using HRIS, have a good working knowledge of UK employment law, be part-qualified/qualified CIPD and have previous HR and office experience.

Key responsibilities:

Recruitment and Onboarding

Submit, track and process recruitment requests from line managers Advertise roles internally, on job boards and via recruitment agencies as needed Track and share applications, support short listing, coordinate interviews Advise managers on contracting freelance, sole trader and self-employed workers and apply IR35 and employment status knowledge to process requests Onboarding and Induction support Send offer of employment email to successful candidates, draft and send employment contracts for e-signature Arrange IT equipment and set up MS ScreenSkills email address/accounts Follow up disability declarations by flagging with the HR Manager any reasonable adjustments and initiating Access-to-Work support Oversee first day, week, month induction timetables Deliver individual and group inductions Initiate and track probation reviews, escalating to HR Manager if/when required Work with HR Manager to review the induction process when required HR Administration & HRIS Management Maintain and update HR records, ensuring accuracy in employee data, contract changes, and leave records. Act as the primary administrator for the HRIS (Cascade), ensuring employee records are accurate and updated regularly. Drafting and sending employment contracts for staff; contract variation letters e-signage Monitor annual leave throughout the year, ensuring staff are using their annual leave Generate HR reports for internal and external stakeholders, including funders. Ensure HR templates and documentation are up to date and aligned with best practices. Support the HR Manager in managing employment relations cases. Raise purchase orders for L&D coaches, freelancers, associates and consultants

The ideal candidate will have the following:



Essential experience:



In depth working knowledge of employment law (including employment status and IR35) Demonstrable experience of privacy, duty of care and discretion as required Sound knowledge of employment law Experience of working to deadlines and providing generalist advice Excellent organisational skills. Experience of following processes that require significant attention to detail ensuring accuracy at all times. Good working knowledge of MS Office Packages. Proven experience of working in a small team with a busy workload. Resilient, calm under pressure with a 'can do' approach Understanding of payroll administration, experience of supporting payroll Strong interpersonal, communication and problem-solving skills Ability to handle multiple tasks simultaneously Flexible & Adaptable Ability to work on own initiative and identify opportunities to improve processes and increase quality

Preferred Experience:



Experience or knowledge of the creative industries
