This role involves close liaison with the National accounts & Artic teams ensuring all fuel transactions are accurate in order for the business to invoice our customers and reconcile stock inventory both through our operating locations via our rigid fleet & 3rd party logistics.

The focus of this role is to administer all transactions with accuracy whilst ensuring depot gains and losses are minimized through working practices and collaboration.

This position is an onsite position. No remote work.

RESPONSIBILITIES:

  • Responsible for 100% accuracy in customer delivery confirmations
  • Responsible for accurate input of depot storage dips and ensuring product left on board vehicles is accurate against driver reconciliation
  • Plays vital role in stock anomaly investigation in conjunction with Operational Managers
  • All stock reconciliation to be completed within regional stock reconciliation SLAs set by GM
  • Join daily / weekly stock reconciliation to playback update on stock loss and gains and any other updates relevant in order to continue to drive down stock losses
  • Accurate stock reconciliations on a daily basis to ensure the efficiency and effectiveness of the business on an ongoing basis
  • Accurate entry of data and maintaining the integrity of records
  • Providing a conduit between Operations and Commercial sales to ensure the smooth processing of fuel orders and deliveries
  • Provide Commercial sales and Operational teams with proof of deliveries as and when required
  • Liaising regularly with Operational staff to ensure accurate usage of delivery confirmation procedures through online tracking reports and fleet automation processes
  • Report any anomalies or inconsistencies to Operations Manager upon realization in stock variances
  • Escalate driver related errors to Operations Manager for resolution
  • Other admin work as required on an ongoing basis, including order processing and enquiries
Background and Skills:
  • Previous Administration experience
  • Understanding of stock movement between depot and fleet
  • Detail orientated individual
  • A passion for numbers and accuracy
  • Collaborative and cohesive individual
  • Strong attention to detail is essential
  • Strong written and oral communication skills are essential
  • Experience working to and meeting targets is required
  • An ability to work within a team and work on own initiative is essential
