TOTALIS is committed to delivering reliable, customer-focused services. We are looking for a proactive and detail-oriented Invoice Administrator to support our finance and operations teams.
The Role
As an Invoice Administrator, you will be responsible for the accurate processing of invoices and acting as a first point of contact for general helpdesk enquiries. This is a varied role requiring strong organisational skills, attention to detail, and a professional approach to customer service.
Key Responsibilities
Processing supplier and customer invoices accurately and in a timely manner
Matching invoices to purchase orders and resolving discrepancies
Maintaining accurate financial and administrative records
Handling incoming helpdesk calls and emails, logging and responding to queries
Escalating issues to the appropriate teams when required
Supporting the wider finance and administration teams with ad hoc tasks
Ensuring compliance with company procedures and data protection requirements
Skills & Experience
Previous experience in an invoice processing, finance administration, or similar role
Confident handling telephone calls and providing professional customer service
Strong attention to detail and high levels of accuracy
Good organisational and time management skills
Comfortable using accounting systems and Microsoft Office (especially Excel)
Ability to prioritise workload and work independently
A positive, team-focused attitude
Good IT literacy
