Job Overview





Due to the extensive nature of our strategic customers' portfolios, and the volume of information and data involved, this role is key in enabling smooth delivery of our contract commitments and focuses attention on providing an excellent, robust service.



We are seeking a highly motivated and dedicated Energy professional to co-ordinate and oversee the receipt and uploading of utility invoices within our Invoice Management team. Our Invoice Management team provides support across all departments within our Energy / Decarbonisation division and oversees our invoice management process on behalf of our customers as well as being the single point of contact for them relating to any queries.



This position will be responsible for the day-to-day invoice receipt into the team, ensure the constant flow of invoices and data into the team to ensure customer SLA's are met and invoices can be processed by the team without delay. The successful candidate needs to have a high level or organisation skills, ability to multi-task, strong attention to detail and ability to work with several internal teams and suppliers to obtain the required information.



The is a hybrid role, however it requires daily attendance at our Northampton office to ensure post duties are supported.




Main duties




Manage daily post receipt. Scanning, organising and distribution to the relevant team Co-ordinate the download of utility invoices from supplier portals in a timely manner and ensure the upload into the Invoice Management Team software, ready for processing by the team Prepare source data entry by compiling and sorting information, establishing entry priorities. Help process customer and account source documents by reviewing data for; resolving discrepancies by using standard procedures Work closely with our Portfolio Management Team in resolving missing invoices Ensuring the team work to the agreed end-to-end processes successfully for the processing and validation of utility invoices, and delivery of Authorisation Reports via the agreed channels Maintenance of data entry requirements by following agreed system techniques and procedures Support and organising the workflow of the team to ensure we manage the service within agreed KPIs and SLAs Any other duty which reasonably falls within the scope of this role



Requirements




You will have worked in a administrative or co-ordination role previously, preferably within the Energy sector You have strong quantitative and qualitative skills; you are highly organised with strong interpersonal and management skills with an ability to work to tight deadlines and self-manage priorities amongst multiple tasks You possess a demonstrable knowledge of the tools that can be applied to strategic challenges, and you're adept at using these to navigate and resolve complex issues You're willing to work across a range of issues and able to adapt quickly as priorities change



Knowledge, skills & experience




Proven background in working in an administrative or co-ordination role Track record of working with large data sets Proven ability with Excel and other data analytic tools



Person Specification




Computer literate with a good working knowledge of Microsoft Excel An ability to work to deadlines An ability to work fast, but accurately High attention to detail Being able to work under pressure Excellent written communication skills Self-motivated Organised and accurate An understanding of the Utilities industry would be beneficial but not essential Able to demonstrate self-reliance and ability to manage own time and priorities




The successful candidate will be based in Northampton but could be expected to attend meetings at client sites from time to time. This role will require attendance at the office 5 days per week but flexible working from home is available on afternoons at management's discretion.
