INVOICING AND COMPLIANCE COORDINATOR - PENNINE REFRIGERATION SERVICE LTD- RAF 4020

Role Overview:



We are seeking an organised and detailed Invoicing & Compliance Coordinator to join our growing team at our Leeds office. This is a vital role that bridges finance, compliance, and operational functions, ensuring our invoicing is accurate, timely, and aligned with company and regulatory standards.

You will be responsible for reviewing completed job costings while working with our service coordinator, submitting invoices to clients, coordinating with the group accounts team regarding work in progress, service & maintenance P&L reporting. Additionally, you'll oversee various compliance activities, managing certifications, staff training records, and subcontractor documentation.

Key Responsibilities



Invoicing & Finance:



Review completed job costings and ensured accuracy before invoicing.

Generate and submit invoices to clients within specified timeframes.

Working alongside the existing service team, liaising with the group accounts regarding monthly reports WIP (Work in Progress), service, maintenance & parts P&L.

Contribute to the preparation and review of service, parts, and maintenance profit & loss reports.

Ensure all invoicing aligns with internal deadlines and financial reporting requirements.

Compliance Coordination:



Manage company certifications, including insurance (via the group), construction accreditation, and health & safety requirements.

Maintain records and schedules for office staff and engineer training certifications.

Oversee client plant asset management systems, ensuring records are current and accurate.

Administer subcontractor approval processes, including reviewing qualifying questionnaires and documentation.

Ensure timely renewal and implementation of all required company policies and procedures

Qualifications Skills



Required

:

Previous experience in a finance, invoicing, or compliance coordination role.

Strong attention to detail and accuracy with data entry and financial documentation.

Excellent organisational skills and ability to manage multiple priorities.

Proficient in Microsoft Office Suite (Excel, Word, Outlook).

Strong interpersonal and communication skills, both verbal and written.

Desirable:



Experience in the engineering, construction, or refrigeration industry sectors.

Familiarity with asset management systems or compliance software.

Understanding of certification processes such as health & safety, insurance, and subcontractor onboarding.
