About the role


This is a high-tempo execution role, not an accountant role and not a bookkeeper role. The work is simple but time-critical: invoices must go out fast and accurately, payments must be allocated correctly, and overdue balances must be chased consistently. We use an external bookkeeper for complex accounting and compliance work. Your job is to keep day-to-day invoicing, allocations, and credit control moving every day, and support operations when required.

This role is roughly 70% accounts/admin and 30% operations support. When accounts are quiet, you are expected to actively pick up operational admin, inbox control, follow-ups, and chasing completion. This is not a role for someone who waits for tasks.

What you will do


You will raise and send sales invoices quickly and accurately, check basic charges against our agreed tariffs/rate lists, and keep records clean and up to date. You will allocate incoming payments, handle remittances, resolve small discrepancies, and maintain an accurate aged debt list. You will chase overdue invoices by email and phone, follow up consistently, and escalate when needed. You will answer phones, manage inbox volume, update basic tariffs, and support the operations team so requests do not get stuck.

Customs training requirement (non-negotiable)


You will complete at least 2 weeks of customs declaration training at the start. You must prove you understand the basics and can follow procedures accurately under time pressure. Customs experience is not required, but fast learning and real understanding are required.

What this role is not


You will not be doing VAT returns, payroll, month-end accounts, management accounts, or complex bookkeeping. Those tasks are handled externally. If you are looking for an accounting progression role, this is not a match.

Systems


We use QuickBooks for invoicing, payment allocations, and simple reporting. Experience with QuickBooks or similar systems is helpful, but speed and accuracy matter more than certificates.

What we are looking for


You must be very fast on a computer, accurate under pressure, and comfortable working in Outlook and a finance system all day. You must handle repetitive work without slowing down, prioritise without being told, and take responsibility for outcomes. You must not require hand-holding or repeated explanations. This is an office-based role with measurable performance on speed, accuracy, and outcomes.

Pay and benefits


Base salary is 28,000 gross per year (paid monthly). Travel support is 10 per working day (paid monthly with salary). Lunch is provided on site via company Deliveroo access (benefit, not an allowance and not part of payroll). Company pension is included. Discretionary performance bonus may be available for strong performers.

Progression


If you pass probation and prove you can independently cover both invoicing/credit control and operational support, your base salary can increase to 30,000. Further progression to 32,000-33,000 is for people who become genuinely cross-functional and take on more responsibility without supervision.

Recruitment process (strict, no time wasting)


Stage 1 is short written screening in English and Polish. Stage 2 is a practical execution test (invoicing, allocations, credit control, inbox scenarios) with a deadline. No reminders. No extensions. No interview without passing Stage 2. If you do not like practical tests and deadlines, do not apply.
