Job Overview:


The Laboratory Administrator plays a vital role in supporting the daily operational workflow of the laboratory by ensuring the smooth and efficient management of all goods-in processes. This includes receiving, handling, and documenting all deliveries, notifying the team of incoming laboratory samples, and once trained booking in, labelling, and storing samples accurately and in accordance with laboratory procedures.

The role is central to maintaining exceptional organisation across the goods-in area, ensuring accurate sample location and traceability, and coordinating the return of samples when required. The Laboratory Administrator also supports laboratory operations through routine tasks such as basic laboratory testing (where appropriate), washing glassware, and maintaining general housekeeping standards.

Additionally, the role involves ordering non-critical laboratory equipment, test samples, and consumables to support uninterrupted laboratory activity. This position requires strong attention to detail, excellent organisational skills, and the ability to work collaboratively as part of a fast-paced scientific environment.

What you'll need:



Experience working in a laboratory or technical environment

Understanding of scientific terminology

Ability to support scientists, technicians, or R&D teams

Experience handling lab logistics or compliance tasks

Exceptional communication and interpersonal skills, ability to build strong relationships internally and externally.

Highly organised and detail-oriented

Self-motivated and able to work independently whilst also being a collaborative team player

Responsibilities:



Goods-In Management

Handle all incoming deliveries, ensuring accurate documentation, communication with relevant staff, and proper storage of received items

Sample Arrival Notification

Notify the laboratory team immediately upon arrival of samples and ensure all required information is communicated

Sample Booking, Labelling & Storage (when trained)

Accurately book in, label, and store all samples following laboratory procedures. Ensure full traceability and correct documentation.

Sample Contract Review (when trained)

Ensure the laboratory has all required samples, information, and capacity to conduct testing. Review incoming work against contractual requirements, verify that all necessary documentation is provided, and communicate with the team to confirm resource availability before testing proceeds.

Sample Preparation (when authorised and directed)

Conduct all sample preparation techniques when authorised to do so. Ensure all required documents are completed and filed accordingly

Sample Return Coordination

Arrange and coordinate the safe and timely return of samples to clients or relevant parties

Goods-In Room Organisation & Housekeeping

Maintain high standards of housekeeping and organisation in the goods-in area, ensuring cleanliness and compliance.

Glassware Washing

Clean and maintain laboratory glassware as required, supporting ongoing laboratory workflows when required.

Sample Location & Tracking

Maintain accurate tracking and location records for all samples across the goods-in area.

Basic Laboratory Testing

Support laboratory operations by performing basic tests when required and under guidance

Company accreditation and processes

Comply with all company processes and procedures across Environmental and Quality Management Systems (as well as GMP and GLP where required). Follow all written procedures and methods notifying and recording of any deviations.

Health and Safety

Ensuring a high standard of Health & Safety in the workplace and following all required policies

Record and keeping

Ensure all processes and work are documented appropriately in accordance with procedures and requirements.

Training

Progress through the structured training programs to obtain authorization for all tasks required. Ensuring all training is documented in your own specific training folder.

General

Any other reasonable task as directed by Lab Manager or Directors
