We currently have an exciting opportunity for a Lead Contract Administrator to join our facilities team at the National Archives site in Kew, Richmond. This is a permanent full-time position working 40 hours per week, from 08.00 to 17.00, Mon-Fri.


The role:




Reporting to the Contract Manager Responsible for day-to-day oversight of Contract Performance and improvements through the operation of the CAFM system, the Service Desk and administration function associated with The National Archives contract Ensure that all services are measured and reported consistently to the required standard and that they meet the specific requirements of the FM Contract and our clients Deliver the helpdesk function required, and help drive best practice to receive calls, logging on the FM support system, feeding through to operational staff and reporting back to the end user/customers. Meeting SLAs and KPIs Deliver the financial process for the contract; this includes but is not limited to, raising and receipting purchase orders / raising of quoted works / resolving purchase ledger queries / liaising with subcontractors to ensure deliveries are met Balance the day-to-day oversight of multiple service streams (CAFM system, Service Desk, and administration) while ensuring all services meet contractual obligations. Manage and interpret large volumes of performance data to provide accurate, timely, and meaningful reports Ensure compliance with both client-specific requirements and wider FM contract standards under tight deadlines. Co-ordinate across different teams and stakeholders to resolve issues quickly while maintaining service quality. Working 40 hours per week from 08:00 to 17:00, Monday to Friday

The person:




Previous administration experience is essential Knowledge of Maximo (or another CAFM system) is highly desirable Excellent communication skills, both oral and written Excellent knowledge of Health & Safety legislation Able to carry out task related risk assessments Ability to prepare and plan for internal and external auditing Able to work as part of a team and autonomously Must have good IT skills (able to use Microsoft Office and management systems) Well organised and able to prioritise workload Ability to multi-task in a busy work environment
