The Role
Harmony Auto is seeking an experienced and detail-oriented Lead Officer to join our growing team. In this key role, you will support the company's expansion and communicate effectively with stakeholders at various levels. Reporting directly to the Company Director within the Business Division, you will be responsible for overseeing the daily operations of our branch facilities, ensuring efficiency and compliance across our network.
Role & Responsibilities:
Collaborate with cross-functional stakeholders (OEM, Engineering, Construction & Design, Safety & Security, HR, and Finance) to ensure compliance throughout project lifecycles, from initial construction to final handover, adhering to established contract and vendor management protocols.
Oversee venue liability insurance and observation reports to guarantee comprehensive risk mitigation prior to handover. Champion a user-centric approach to project completion, driving excellence in workplace and showroom environments that meet OEM and Business Leaders' requirements.
Partner with senior internal and external stakeholders to foster a collaborative environment. Spearhead the implementation and delivery of Health and Safety (H&S) initiatives, including the fire marshal evacuation plan, to ensure compliance and maintain a safe working environment for all employees and mitigate Business liability.
Cultivate strong vendor and landlord relationships, managing scope of work planning for timely and effective project delivery across all site facilities. This includes service vendor management, furniture procurement, network infrastructure, and cleaning services. Direct space planning, desk allocation, office setup, and team moves to accommodate expansion, relocation, and reorganisation.
Direct and support new branch openings and ongoing procurement, including commissioning car stock management and handling equipment procedures. This encompasses asset management of devices, showroom car inventory replenishment, and international shipments.
Act as the primary liaison between company directors, external stakeholders, and internal teams. Represent the company in key meetings and serve as the central internal communications officer.
Qualifications and Skills:
Bachelor's degree in Facility Management, Engineering, Business Administration, or a related field.
Proven 3-5 years' experience in facility management or workplace operations, preferably in a retail or automotive environment.
Strong understanding of cross-functional collaboration and stakeholder management.
Excellent project management skills with a focus on user experience and workplace excellence.
Knowledge of Health and Safety (H&S) regulations and best practices.
Experience in vendor and landlord relationship management.
Proficiency in space planning, desk allocation, and organisational relocation strategies.
Familiarity with procurement processes and equipment commissioning.
Excellent communication and interpersonal skills.
Ability to work in a fast-paced environment and manage multiple priorities.
Willingness to travel 70% between different sites.
