Team Structure:

The firm is comprised of seven main practice areas: corporate; commercial litigation; employment pensions, immigration & private wealth; finance; real estate & projects; and marine, trade and offshore. The global Legal Administrative Support team provides direct support to our practice groups via five main service teams:
Executive Assistant Team Leaders ("TLs") who manage department admin and their legal admin teams; Executive Assistants ("EAs") working with our partners and managing associates; Administrative Assistants ("AAs") working within our practice groups primarily supporting our associates; Team Administrator ("TA") Hub, our centralised admin support team comprised of our TAs; and Offsite document production centre, a managed service provided by Williams Lee.

Main Responsibilities:
Deputise for the Head of Legal Administration Services in times of absence. Work alongside the Head of Legal Administration Services to design, deliver and drive the Legal Admin Strategy. Review market trends for team structures to include understanding new roles and responsibilities and how these might be adopted/adapted for Stephenson Harwood, with particular reference to practice manager and practice group support roles. Lead the monthly team leader meetings, preparing agendas and ensuring actions are followed up. Working with the TLs to determine, develop, implement and document best practice processes through regular review to ensure the team is operating as effectively as possible. Identify service improvements, consulting with key stakeholders to resolve issues and facilitate continuous improvement. Promoting a high-performance culture, ensuring consistency in performance; recognising and rewarding high achievers; dealing with under-performance promptly and effectively; implementing formal capability and disciplinary procedures where appropriate. Leading the annual review process, assisting with talent mapping and objective setting, identifying training needs and creating a training and development programme. Maintain and update team skills matrix documentation. Identify and maintain appropriate level of resource to align with business growth, ensuring the needs of the practice groups are met with the appropriate resource levels. Producing business cases for new headcounts. Assist EA team leaders and HR with recruitment selection and interviewing. Work with local college to manage our apprenticeship programme. Adhere to the firm's risk and compliance policies and procedures and raise any issues or queries promptly with the relevant Partner and/or Risk and Compliance team. Being a strong, positive role model and leader for the wider Legal Administrative Support team. Ensure Head of Legal Administration Support Services is regularly updated on areas of concern, issues, solutions, and other key information.
Attributes/Skills Required:

Strong personal branding, supporting the firm's values at all times. Highly motivated and equipped with the ability to motivate and inspire team members. Excellent communication and inter-personal skills (both oral and written). Capable of working autonomously but also operating within a team environment. Strong time management and prioritisation skills. Proven persuasion, influencing and negotiation skills to include managing conflict. Facilitate problem solving and collaboration. Previous legal service supervisory experience. Advanced knowledge of all legal software systems.
