Job Description

Swaine Allen Solicitors are part of Lockings Legal services Limited, the department specialises in recovery of service charge & ground rent arrears on leasehold & freehold properties.

We also undertake residential possession proceedings.

The department is looking at strengthening their team further and is looking for a bright individual that is ready to learn.

Job Responsibilities:



You will join an established team to continue the delivery of a first-class service to our clients and to work with the finance administrator, head of department and the directors to support existing and promote new strategies for the development of the department.

The department acts for a broad mix of landlord clients both locally and nationally including large commercial organisations.

General description of duties:-

1. To act as liaison with our clients and their agents and managers in relation to updating them on the service charge recovery matters we are conducting for them.

2. To communicate with clients, other professionals and third parties by telephone, letter and e-mail.

3. To operate the firm's computerised accounts system and to provide back-up to the service charge department's financial administrator and cover for absence.

4. To understand the documentation required to open a new file and to understand and operate the file opening system.

5. To deal with credit/debit card payments via telephone and in person.

6. Provide a profitable contribution to the work of the department achieving such targets as may be set by the department head from time to time.

7. To comply with the requirements of the office manual and the LEXCEL requirements.

8. Ensure the confidentiality of all the firm's and clients documentation and information.

9. Assist in monitoring the caseload & complete the relevant reporting features.

Development:



Having gained an understanding of the file opening and accounting procedures the role will develop into file reviews pre-litigation and dealing with the initial stages of disputes.

Qualifications/Skills:



1. Excellent IT skills and ability to use Word, Excel and develop skills in case
management systems.

2. Excellent oral and written communication skills and attention to detail.

3. Confident & patient telephone manner.

4. Pleasant personality and lots of common sense.

5. Productive team player.

6. GCSE in Maths & English preferred

7. Experience in dealing with people on the telephone preferred (this can be in any capacity)

Full-time office hours (Monday to Friday 9am to 5pm) based at our Hull Office.
