Job Overview



We are seeking a dedicated and detail-oriented

Legal Assistant

to support our Sales team within a fast-paced residential property environment. This role is vital to ensuring smooth legal coordination, administrative accuracy, and compliance across all stages of the property sales process. The ideal candidate will bring strong organisational skills and a customer-focused mindset, enabling them to assist with legal documentation, liaise with solicitors, support anti-money laundering (AML) checks, and manage internal record-keeping with precision.

In addition to legal coordination, the role also provides administrative support to the Sales Director, contributing to the overall efficiency of the department. Responsibilities



Review and assist with key legal documents related to residential property sales, including Memorandums of Sale, TA forms, and completion statements Summarise and explain key points from legal documents internally to support the Sales team in client communication (non-advisory) Conduct and support Anti-Money Laundering (AML) and Know Your Customer (KYC) checks, including ID verification and source of funds review Liaise with buyer and seller solicitors and brokers to track transaction progress, clarify outstanding items, maintain smooth communication between all parties, and ensure regular updates are recorded in the CRM system Monitor key transaction milestones and assist in keeping the sales process on track by flagging delays and prompting timely follow-ups Maintain accurate, well-organised digital files and documentation to ensure all records are audit-ready and compliant with HMRC, GDPR, and AML standards Update internal CRM systems with legal milestones, solicitor correspondence, and transaction status Provide general administrative support to the Sales Director, including scheduling meetings, preparing internal reports, managing documentation, and general coordination tasks Collaborate with Sales Consultants to ensure all legal steps are completed efficiently, helping deliver a seamless client experience Communicate with clients and external parties to gather required documentation and provide timely updates (non-advisory)

Qualification



1-3 years of experience as a Legal Assistant, Paralegal, or in a conveyancing support role (property law preferred) Strong understanding of the UK residential sales process and key legal documents Excellent organisational and customer service skills, with a proactive and detail-oriented mindset Confident in reading and interpreting property transaction documents and clearly communicating key points internally (non-advisory) Experienced in document control and data management, with a strong grasp of AML, GDPR, and HMRC-related compliance Able to manage multiple transactions simultaneously with accuracy and efficiency Strong communication and coordination skills, especially when liaising with solicitors, clients, and developers A collaborative team player who supports smooth completions and enjoys working closely with Sales Consultants Fluent English is essential; Mandarin or Cantonese is a strong advantage Comfortable using CRM systems (e.g. Reapit, 1090) and proficient in Microsoft Office
