Job Description

Alstern Solicitors is an SRA-regulated law firm based in Canary Wharf, providing legal services in Immigration, Conveyancing, Family Law, Wills, Trusts, and Probate. We are a small growing practice with a strong East Asian cultural presence.

We are looking for a proactive, detail-oriented, and motivated Vietnamese-speaking Legal Assistant to support our legal team primarily in immigration cases, but also in other legal matters as needed.

This role is ideal for candidates with relevant UK legal experience, or law students seeking a placement year or experience to transition into a paralegal role especially those aspiring to qualify as solicitors in the future.

The candidate must also be capable of contributing to administrative operations, marketing initiatives, and client engagement. This position requires a balance of UK legal knowledge, strong communication skills, public speaking confidence, and a sales-focused mindset.

The selected candidate will undergo a 6-month probation period, with the possibility of transitioning to a permanent position upon successful completion. During this time, we will evaluate your performance, integration into the role, and alignment with our company culture. We are looking for someone committed to a long-term engagement with our business.

If you do not have experience in relation to our firm's requirements and relevant experience in our services and can not meet the business needs, but we believe you have relevant skillset that our firm is interested, we will offer you a two-weeks work shadowing for you to learn, observe our works and understand the role, while also demonstrating your readiness and skillsets to perform the role of a Legal Assistant from day one in line with our firm's requirements.. This will allow us to further assess your suitability before making a final employment decision.

As this is a junior position and entry level, we do not reimburse travel expenses and our entry level offer package is fixed and Non-negotiable Therefore, we prefer candidates who are based in London, ideally nearby our office in Canary Wharf, and willing to learn the experience for the candidates their own gains.

Responsibilities



Liaising between the legal team (solicitors and paralegal) and the marketing & sales team to ensure smooth communication and coordination. Answer telephone calls, take detailed notes, and ensure client enquiries are responded to promptly and professionally. Support supervisor with legal matters including immigration, conveyancing, or other areas as needed. Handle initial client enquiries, provide appropriate information, and escalate matters to relative staff as required. Manage client files in accordance with firm procedures, including opening and closing files and maintaining accurate records. Draft legal correspondence and documents for submission to clients, the Home Office, courts, and third-party solicitors. Assist in filling out visa and legal applications and submitting supporting documents under supervisor instruction. Conduct legal research to support case preparation and remain informed of relevant legal updates. Use the firm's case management system to log communications, follow-up actions, and case progress. Support marketing activities by contributing to legal articles, web content, video content and social media posts to engage clients. Assist in video creation and multimedia content development to promote the firm's legal services and attract new clients. Collaborate with the marketing team to provide client feedback and develop relevant promotional materials. Provide daily administrative support to the legal team, including printing, scanning, scheduling, and document management.

Key Requirements



Living close to Canary Wharf is preferred, as no relocation or travel support is provided. Candidate must study or have law degree or related qualification (SQE1 & 2 are preferable). Assist with specific client support tasks under supervisor instruction, such as booking GP appointments or marriage ceremonies. This requires familiarity with UK systems and processes (e.g. requesting GP letters, contacting local councils, etc.). Therefore, candidates must have lived in the UK for a period of time and have experience handling such practical documentation. Commitment to continuous professional development, with a willingness to engage in self-directed learning and research outside of working hours to enhance legal expertise and job performance. Pay attention to details and strictly follow the instruction by the supervisor. Proficiency in Microsoft Office, including Word, PowerPoint, and Excel. Fluency in Vietnamese is required. Fluency in English both speaking and writing (Essential) Creative thinking, self-motivation, and a willingness to undertake a broad range of tasks. Confident and professional manner: approachable, with the ability to interact effectively at all levels. Willingness to assist the team and perform tasks outside the defined role when needed. Ability to work under pressure and follow instructions from supervisors and solicitors. Capability to work independently. Strong team player with effective communication skills and keen attention to detail. Excellent organisational skills, with the ability to plan and prioritize effectively to meet deadlines. Excellent communication and public speaking skills, with the confidence to represent the firm online. Committed to self-directed learning and professional development. At least 1 year of experience in an immigration or conveyancing law firm (Preferable).

Location: Alstern Solicitors, 30 Churchill Place, London, E14 5RE

Working Hours: 9 am - 5 pm (1-hour lunch break)

Candidates living in proximity to Canary Wharf are strongly encouraged to apply, as we do not cover relocation expenses.

Pay: From 23,000.00 per year, successfully completion of the probation time the salary will increase to 26,000. It is based on 35h/week
