Summary of Role
W8 Advisory is seeking a proactive, organised, and detail-oriented Executive Assistant to support the team with a variety of administrative and operational tasks. This role will involve handling both client-facing duties and internal operations, including managing KYC (Know Your Customer) and compliance tasks. The ideal candidate will have strong interpersonal skills, experience in a fast-paced environment, and a commitment to maintaining professionalism. This is a part-time position with the possibility of flexible hours, though the candidate must be available on Mondays for key tasks and meetings.
Main Responsibilities
Administrative Support
: Provide executive-level support, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Legal Documentation
: Prepare, file, and organise legal documents, including Companies House and Land Registry filings, ensuring compliance with relevant regulations and procedures.
KYC & Compliance
: Assist with client onboarding, conduct KYC checks, and ensure compliance with regulatory standards.
Client-Facing Tasks
: Serve as a point of contact for clients, manage client communications, and maintain strong, professional relationships.
Document Preparation
: Prepare and proofread letters, documents, and contracts, ensuring accuracy and correct legal terminology.
Research & Analysis
: Conduct legal and business research as required, summarising findings and providing actionable insights.
Meeting Coordination
: Organise and attend internal and external meetings, taking minutes and ensuring follow-up actions are implemented.
Newsletter Compilation
: Compile information for W8 Advisory newsletters to clients and stakeholders, including creating the email content and sending the newsletters.
Ad Hoc Support
: Provide support to the senior management team with various projects and administrative tasks as needed.
Key Skills & Qualifications
Previous Legal Experience
: Prior experience as a legal assistant or paralegal, with the ability to handle legal administrative tasks, including filing legal documents and dealing with legal terminology.
Legal Knowledge
: Experience in filing legal documents such as Companies House and Land Registry filings, and understanding of KYC and compliance procedures.
Excellent Communication Skills
: Strong verbal and written communication skills, with the ability to interact professionally with clients and internal teams.
Attention to Detail
: Meticulous in proofreading documents, managing data, and ensuring accuracy in all tasks.
Time Management
: Ability to manage multiple tasks effectively, prioritise responsibilities, and meet deadlines.
Client-Facing Experience
: Demonstrated experience in interacting with clients and handling client queries professionally.
Digital Software Knowledge
: Proficient with a range of digital tools and software relevant to the role, including document management systems and legal databases.
Professionalism
: A high level of professionalism when working with colleagues, clients, and external partners.
Organisational Skills
: Ability to manage various administrative tasks and maintain an organised workflow.
Flexibility
: Adaptable to changing priorities and able to work independently in a hybrid work environment.
Additional Desired Skills
Previous experience with KYC, compliance, and regulatory documentation.
Strong interpersonal and client relationship-building skills.
Knowledge of civil litigation practices and legal procedures is a plus but not mandatory.
