Role: Legal Secretary / Assistant

Department: Residential Property

Hours: 35 per week, 9am - 5pm, Monday to Friday


We are currently seeking an experienced Legal Secretary/Assistant to join our expanding Residential Property team. You will directly support one of our conveyancers, providing comprehensive support to enable them to operate at optimum efficiency. This role is full-time and office-based in our Lake House (Port Solent) office.

Role Responsibilities



As a Legal Secretary/Assistant you will be responsible for delivering our mission of Great Service, Every Client, Every Time by taking a professional, client-first approach to every case. You will be expected to use a high degree of self-management and initiative to effectively carry out administrative duties in accordance with company procedures and quality standards. Responsibilities include but are not limited to:

Prepare correspondence and documents using audio typing, word processing or digital dictation methods. Administer filing systems, including daily filing and the opening, closing, storage and retrieval of client files, in accordance with company procedures. Attend clients, both in person and on the telephone, in a professional and friendly manner in keeping with the firm's standards for client care. Make appointments, arrange meetings and maintain an up-to-date diary for the fee earner. Prepare mail and enclosures for dispatch to arrange for all copying to be done. Ensure the confidentiality of all practice and client documentation and information. In liaison with the Accounts Department, have overall responsibility for credit control on own matters and to achieve agreed levels of billing and time recording. In liaison with your Head of Department and other directors, to be active in promoting the services of the firm, its image, social/community standing and ethos. Provide support to other colleagues and provide guidance to junior and temporary secretaries as required. Undertake training and professional development as required.

Whilst character is important to us, we do require a certain level of experience and qualification to succeed in this role. These are:

Minimum of 1 year's experience as a legal secretary/assistant in a residential property team or comparable role.
Please be aware all roles require the right to work in the United Kingdom, sponsorship of such right will not be provided. The successful candidate will also require a satisfactory DBS check.
