Overview


We are seeking a dedicated and detail-oriented Legal Secretary to join our dynamic legal team. The ideal candidate will play a crucial role in supporting our legal professionals by managing administrative tasks and ensuring the smooth operation of our office. This position requires a high level of professionalism, discretion, and the ability to handle sensitive information.

PRINCIPAL TASKS:



Liaising with clients and stakeholders on behalf of solicitors; using phone, email and in person to communicate when necessary or asked by the solicitor.

Produce information by transcribing and formatting with input into the client management system.

Submitting and monitoring applications to the Scottish Legal Aid Board through to completion. Obtaining client details as required, queries, and working with colleagues in relation to Legal Aid issues.

Conserve solicitors' time by reading, researching, reviewing, verifying, and routing correspondence, reports and legal documents; drafting letters and documents; initiating telecommunications; organising client conferences, and meetings; scheduling couriers, court reports, expert reports, and other special functions.

Maintain court and solicitor calendar by planning and scheduling conferences, teleconferences; recording and monitoring court appearance dates, pleadings, and filing requirements; monitoring evidence-gathering; anticipating changes in litigation or transaction preparation requirements.

Represent solicitor to clients by communicating and obtaining information; following-up on delegated assignments; using good judgement,

Maintain all evidence documents, legal forms, etc in the client management system.

Enhance the Law Centre's reputation by accepting ownership for exploring and accomplishing opportunities to add value to job and Dundee Law Centre.

Work always within the safety guidelines established for the Law Centre. Ensure that you are always mindful of the established H&S office guidelines.

Undertake other duties as assigned by Operations Manager or Client Solicitor as it relates to client management.

Contribute to the quality assurance of the legal department with ideas of continuous improvement.

Work in partnership with the legal team.

SKILLS AND EXPERIENCE:



Ability to communicate with Dundee Law Centre clients and public using telephone and written communication. - Advanced proficiency with audio typing with speed type of at least 60wpm.

Intermediate knowledge of legal office environment.

Knowledge and experience in Legal Aid Work and working knowledge of client management systems is advantageous.

Working knowledge of Microsoft systems, i.e., Word and Outlook.

Knowledge of legal terminology, regulations and Scottish court and tribunal system.

Working knowledge of SharePoint communication and file storage.

Ability to multi-task and being comfortable dealing with a diverse pool of people, particularly those with complex and challenging needs and literacy issues.

Advanced written communication skills and the ability to converse with the clients in a professional manner.

Work with initiative and going the extra mile when necessary.

Job Types: Full-time, Part-time, Permanent

Pay: 24,500.00 per year

Schedule:

Day shift Monday to Friday No weekends
